POSITION SUMMARY

The Department Supervisor Librarian is responsible for the overall administration, supervision, and day-to-day operation of the Medical Library. The position provides leadership in the management of library services, collections, electronic information resources, research support, and educational services for physicians, residents, fellows, medical staff, students, and other authorized users.

The Department Supervisor Librarian ensures that library resources and services effectively support patient care, medical education, graduate medical education, clinical research, scholarly activity, and the administrative needs of the organization. The position exercises independent judgment within established policies and procedures and collaborates with GME leadership, medical staff, clinical departments, and other organizational stakeholders.

Job Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES

Library Administration and Operations

Directs, supervises, and coordinates the daily operations of the Medical Library.

Establishes operational priorities and ensures that library services are provided in an efficient, timely, professional, and customer-focused manner.

Develops and maintains procedures, workflows, and operational standards for library services.

Monitors library operations and identifies opportunities to improve efficiency, accessibility, service quality, and user experience.

Ensures appropriate availability and accessibility of library resources during regular and approved after-hours periods.

Maintains appropriate records, documentation, statistics, and reports related to library operations and resource utilization.

Ensures compliance with applicable organizational policies, procedures, confidentiality Collection and Resource Management

Develops, evaluates, updates, and maintains the Medical Library's print and electronic collections.

Oversees the selection, acquisition, organization, cataloging, maintenance, and appropriate disposition of books, periodicals, journals, audiovisual materials, electronic resources, and databases.

Evaluates current and emerging information resources to ensure that collections support the educational, clinical, research, and professional needs of the organization.

Monitors usage and resource needs and makes recommendations regarding renewals, subscriptions, acquisitions, and cancellations.

Maintains knowledge of medical literature, electronic databases, library technologies, and information-retrieval systems.

Research and Information Services

Provides professional research and information services to physicians, residents, fellows, medical staff, students, and other authorized users.

Assists users with literature searches, evidence-based information retrieval, reference questions, research projects, publications, abstracts, and other scholarly activities.

Provides access to national and electronic information networks and specialized medical and academic databases.

Assists users in identifying, evaluating, retrieving, and appropriately utilizing reliable medical and scholarly information.

Provides instruction and consultation regarding effective use of library databases, electronic resources, research tools, and information-retrieval systems.

Education and Graduate Medical Education Support

Develops and conducts library orientation and educational sessions for residency and fellowship programs.

Provides training to residents, fellows, physicians, and other medical staff regarding the effective use of library resources and electronic information systems.

Collaborates with GME leadership and program directors to identify and address the information and educational resource needs of residency and fellowship programs.

Supports scholarly activity, research, continuing education, and evidence-based practice initiatives.

Assists in providing educational materials and information resources for patients, physicians, residents, medical staff, and other authorized users.

Administrative and Interdepartmental Responsibilities

Participates in appropriate administrative, departmental, medical staff, GME, and organizational committees.

Represents the Medical Library in meetings and activities related to education, research, clinical information resources, and organizational initiatives.

Collaborates with clinical, academic, administrative, and information-technology departments as appropriate.

Assists with budget-related activities, resource planning, and monitoring of library expenditures, as assigned.

Processes and maintains required documentation for staff requesting after-hours access to the Medical Library.

Answers, screens, and directs telephone calls and inquiries appropriately.

Desktop and laptop computers.

Library management and cataloging systems.

Electronic medical and academic databases.

Online research and information-retrieval systems.

Microsoft Office and other standard business software.

Telephone and telecommunications equipment.

Printer, scanner, copier, and related office equipment.

Audiovisual and presentation equipment.

Other technology and equipment required to perform the essential functions of the position.

 

TECHNICAL COMPETENCIES

Demonstrates proficiency in computer applications and standard office technology.

Demonstrates proficiency with Microsoft Office applications, including Word, Excel, and Access.

Demonstrates ability to use electronic library systems, online databases, digital collections, and information-retrieval systems.

Demonstrates ability to perform effective medical and scholarly literature searches.

Demonstrates ability to learn, implement, and support new library technologies and information systems.

Demonstrates ability to maintain accurate electronic and paper records.

Demonstrates ability to use organizational procurement and administrative systems, including PeopleSoft, as required.

Qualifications

MINIMUM QUALIFICATIONS

Education:

Master's degree in Library and Information Science (MLIS), Library Science, Information Science, or a closely related field from an accredited institution.

 

Experience:

Minimum of three (3) years of progressively responsible professional library experience, preferably in a medical, academic health sciences, hospital, healthcare, or research environment.

Demonstrated experience providing reference, research, information-retrieval, collection-development, or electronic-resource services.

Demonstrated experience using electronic databases, library systems, and information technologies.

Prior supervisory, lead, or project-management experience preferred.

 

Licensure/Certification:

Professional librarian certification or state licensure, if required by applicable law, organizational policy, or position classification.

Additional medical library, information science, or related professional certification is preferred.

 

Preferred Qualifications:

Experience supporting graduate medical education, residency or fellowship programs.

Experience working in an academic medical center, teaching hospital, or healthcare organization.

Experience with medical literature databases and evidence-based information resources.

Experience supervising professional or support staff.

Knowledge of current trends in medical librarianship, scholarly communication, research support, and electronic information resources.

 

PHYSICAL DEMANDS

The position is primarily performed in an office/library environment. Physical demands are consistent with normal office and library operations, including prolonged periods of sitting and computer use, standing, walking, reaching, bending, and occasional lifting or moving of library materials and office equipment within established safety guidelines.
