Job Summary:
The Medical Office Administrative Assistant provides essential administrative and clerical support to ensure the efficient operation of the medical office. This role is crucial for maintaining smooth patient flow, accurate record-keeping, and a positive patient experience.
Job Responsibilities:
Answer multi-line phone systems, direct calls, and take detailed messages.
Schedule and confirm patient appointments, manage the appointment calendar, and handle rescheduling requests.
Greet and register patients, verify insurance information, and collect co-pays or payments.
Prepare patient charts, scan and file medical records, and ensure accuracy and confidentiality of patient data.
Process incoming and outgoing mail, faxes, and other correspondence.
Maintain office supplies inventory and place orders as needed.
Assist with billing inquiries and insurance claims processing.
Maintain cleanliness and organization of the reception area and waiting room.
Communicate effectively with patients, physicians, and other healthcare professionals.
Perform other administrative duties as assigned by the office manager or medical staff.
Job Qualifications:
High School Diploma or GED required; Associate's degree or medical administrative assistant certification preferred.
Minimum of 1-2 years of experience in an administrative support role, preferably in a medical office setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with electronic health records (EHR) systems is highly desirable.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Exceptional customer service and interpersonal skills.
Ability to maintain patient confidentiality (HIPAA compliance).
A positive and professional demeanor.
Hours per week - 36-40 hours
Work Schedule - Monday thru Thursday 8-5 Friday 8 to noon
