Penn Psychiatric Center is seeking an energetic, compassionate, and highly organized \Office Administrator to join our growing outpatient behavioral health practice in Phoenixville, Pennsylvania.
This is a full-time, in-person position designed for someone who enjoys working with people, thrives in a fast-paced healthcare environment, and is looking for a long-term career with opportunities for advancement.
While this position begins with primary responsibility for front-office operations, patient experience, and administrative coordination, it is designed to grow into a leadership role. As you become familiar with our practice, workflows, and culture, you will have the opportunity to assume increasing responsibility for supervising front-office operations, training team members, improving office efficiency, and supporting practice management.

Primary Responsibilities
Patient Experience & Front Office
- Welcome patients, visitors, and providers with professionalism and compassion
- Answer multi-line telephone system
- Schedule appointments and manage provider calendars
- Verify insurance eligibility and obtain authorizations
- Collect co-payments and patient balances
- Coordinate referrals and follow-up appointments
- Maintain accurate patient records within the electronic medical record (eClinicalWorks experience preferred)
- Respond promptly to patient questions and requests
- Deliver a concierge-level patient experience
Office Administration
- Coordinate daily office operations and workflow
- Maintain organized, efficient, and professional workspaces
- Assist with provider scheduling and office coordination
- Monitor supplies and order office inventory
- Assist with reporting, spreadsheets, and administrative projects
- Coordinate communication among providers, patients and leadership
- Identify workflow improvements and assist with implementing new processes
- Support practice growth initiatives and special projects
Leadership Development

Requirements
- Medical office experience or Medical Assistant education, certification, or equivalent healthcare experience
- Minimum three years of customer service or healthcare office experience preferred
- Outstanding communication and interpersonal skills
- Strong organizational and multitasking abilities
- Excellent attention to detail
- Professional appearance and demeanor
- Dependable attendance and punctuality
- Ability to work independently while collaborating effectively with a team
- Proficiency with Microsoft Office and general computer systems
Preferred
- Experience in behavioral health, psychiatry, primary care, or another outpatient medical practice
- Experience with eClinicalWorks (eCW) or another electronic medical record system
- Insurance verification and prior authorization experience
- Medical terminology knowledge
- Supervisory or leadership experience
- Associate's or Bachelor's degree in Healthcare Administration, Business, or a related field
