Job Summary and Qualifications

Job duties: 

  • Assists with scheduling appointments.
  • Accurately completes new patient intake form
  • Checks computer or medical record for future appointments and reschedules or cancels appointments as necessary
  • Informs new patients of arrival time, need to bring insurance cards, all medications, and photo identification. If time allows, mail patient appropriate history forms
  • Utilizes scheduling software accurately
  • Assists with reminders calls to new patients prior to their scheduled appointment.
  • Prints schedule for next day and pulls all medical records on schedule
  • Prepares medical records with proper forms, ensuring completion of each form including the medical record number and application of all labels
  • Reviews all demographics with patient to ensure accuracy and completion
  • Informs appropriate clinician of patients arrival
  • Informs staff of private patient issues
  • Notes in EMAR when unable to reach patient, patient chooses not to reschedule, or patient cancels appointment
  • Informs referring physician, via letter, if patient misses initial visit, or if patient is unable to be scheduled
  • Assists with opening and securing of clinic/front office area
  • Greeting patients and visitors using appropriate eye contact
  • Assists in monitoring office supply inventory
  • Delivers and checks mail in all designated areas daily
  • Directs all patient inquiries appropriately
  • Completes copying duties as assigned
  • Maintains supply of new patient packets
  • Answers phone is courteous, timely manner
  • Assists in managing medical records in an organized fashion
  • Files all documentation in a timely manner ensuring it is complete prior to forwarding to clinician for patient care
  • Prepares new medical record jackets in advance of new patient visits to ensure an adequate supply
  • Maintains confidentiality and security of all patient records
  • Willingly accepts work assignments in a flexible and positive manner.
  • Performs other related functions as assigned.
