This position functions as the supervisor of the medical office staff in the Departmentof Psychiatry, a part of the Neuroscience Institute (NSI). Functions may include but are not limited to checking in patients, collecting payments, managing patient insurance, addressing patient complaints, staff scheduling, department and SIU meetings, and supervising staff and the day-to-day operations of the unit.
*This position is ON SITE only.*
Administrative: 20%
* Ensures the efficient and timely performance of staff; assigning, directing and evaluating their work.
* Performs duties related to human resources in accordance to policy for clinic employees with assigned direct supervision. Approves schedules, performance evaluations, interviews, hires, terminations and implements corrective action as needed.
* Monitors quality of work and services with regards for accuracy and performance improvement.
* Orients and trains staff.
* Establishes daily priorities in the clinics according to workload and patient volume. Develops, implements, and supervises clinic systems and procedures that ensure smooth, efficient, high quality functioning/operations.
* Ensures implementation of departmental rules, policies and procedures; recommends revisions.
* Advocate for the unit's efficiency and efficacy.
* Answer questions, problem-solve, and coordinate the unit.
* Set daily priorities for staff.
* Work with other managers to assist in critical areas.
* Compiles and organizes data related to clinic activities into reports, as well as analyzes clinic activity reports.
* Serves as liaison within the Department of Psychiatry, as well as other departments within SIU Medicine.
* Serves on department committees and school-wide committees as a resource for implementing new procedures.
Patient Registration: 75%
* Receive and welcome patient into the clinic.
* Interview patients to obtain demographic and billing information
* Manage information related to insurance plans.
* Enter patient demographic and billing data for patients.
* Create initial medical records for new patients.
* Obtain the patient's signature on authorization forms.
* Ensure all patient information is accurate.
* Scan patient insurance cards and patient identification cards.
* Distribute pre-planned forms at check-in for clinic.
* Scheduling follow-up appointment.
* Collect payment at the time of service.
* Complete and maintain the receipt register.
* Responsible for ensuring the accuracy of batch management.
