Matrix Providers is hiring a Medical Office Secretaryto join our team of talented professionals who provide health care services to our Military Service Members and their families at Walter Reed National Military Medical Center (WRNMMC), 8901 Wisconsin Avenue, Bethesda, MD.

  • Employment Status: Full-time
  • Compensation: This is an hourly position, paid bi-weekly. $22.48/hr + H&W $5.09/hr.
  • Schedule: Monday- Friday (22:45-07:15)

Minimum Qualifications:

  • Education/Certification: High School Diploma or Associate’s Degree.
  • Experience: Possesses a minimum of one year professional experience in an office environment as a secretary or receptionist.

Core Duties:

  • Researches, collects, tracks and processes medical, technical and administrative data for administrative reports.
  • Establishes and maintains complex departmental patient files. Receives high profile visitors, patients and patient family members.
  • Answers telephone inquiries; determines request and directs callers to appropriate staff or personally provides non-technical or routine information.
  • Enters patient physician messages into facility computer health care system, ensuring Joint Commission on Accreditation of Healthcare Organizations compliance.
  • Checks patients in and out from schedule, and schedules follow up appointments in automated system and notifies patients of appointment date and time.
  • Inputs required data into automated medical treatment facility computer system, and completes, scans and edits ambulatory Data Forms using the same computer system.
  • Receives, reads and makes proper distribution of correspondence and other mail received in the department and respective division.
  • Determines which matters require immediate or personal attention of the department of respective division and locates, assembles, and attaches any background papers as required.
  • Drafts, edits, and completes a wide variety of assigned typing projects or government reviews and signature including, but not limited to; correspondence, memorandums, reports, and completion of computer-generated forms.
  • Reviews all outgoing documents for format, typing, grammar, proper attachments, number of copies, and coordination, etc.
  • Reviews, transcribes and types correspondence, memorandums and other material for signature of the department or respective division according to NCR correspondence protocol.
  • Coordinates the scheduling of conference room meetings. Ensure office environment is kept clean and in working order.
  • Prepares and keeps statistical information for cost accounting purposes upon government request for government review.
  • Enters and/or retrieves date for MHS Genesis.
  • Maintains correspondence suspense and control system issuing reminders of approaching due dates and securing extensions.
  • Coordinates computerized word processing storage and indexing and establish processing priorities as needed.
  • Provides computer training and in-services on operating current and incoming new equipment to staff members upon government request.
  • Maintains a group e-mail account and shared database for the department and respective division.
  • Performs administrative timekeeping support for the division.
  • Prints pay slips as needed and performs verification with timecard and administrative leave records. Corrects time and leave discrepancies. Prepares all timecard documents and submits them to government for final government approval and signature.
  • Maintains supply and equipment inventory and control. Reorders supplies prior to depletion.
  • Ensures transactions are submitted for government review and approval. Contractors may not commit government funds.
  • Schedules routine and trouble maintenance on office equipment upon government request.
  • Maintains secondary records (convenience files) for 3 years. Discards secondary records, which have been closed for 3 years upon government request.
  • Monitors, updates and reviews reports daily for support of 45 staff members.
  • Reviews and maintains over 45 staff files for complete and accurate information.
  • Greets, directs and assists over 40 visitors/patients daily.
