As a Clinical Receptionist, you''ll help create a positive patient experience from the moment someone walks through the door or calls the clinic. Job Description

The Clinical Receptionist serves as the first point of contact for patients and visitors, helping ensure an efficient, professional, and welcoming experience across EBCAP''s medical, behavioral health, and dental programs. This role supports daily clinic operations through patient registration, appointment scheduling, insurance verification, payment processing, and accurate documentation within electronic medical record systems.

Success in this role requires excellent communication skills, strong attention to detail, and a commitment to maintaining confidentiality, compliance, and exceptional customer service.

Work Schedule

  • Regular clinic hours with flexibility to support patient access and operational needs.
  • Required availability for Tuesday and Thursday evening clinic hours.
  • Required availability for a rotating Saturday half-day schedule.

Key Responsibilities

Patient Experience & Front Desk Operations

  • Deliver outstanding customer service to patients, families, staff, and community partners.
  • Greet and check in patients while ensuring all demographic and insurance information is current and accurate.
  • Schedule, confirm, reschedule, and cancel appointments to support efficient provider schedules and patient access.
  • Process patient payments, copays, and other transactions accurately and confidentially.
  • Maintain a welcoming, clean, and organized reception and waiting area.

Administrative & Documentation Support

  • Accurately enter, update, and verify patient information within electronic medical and dental record systems.
  • Scan, index, and upload required documentation according to organizational standards and compliance requirements.
  • Process incoming and outgoing correspondence and maintain organized filing systems.
  • Generate and review reports that support clinic operations and productivity monitoring.

Communication & Care Coordination

  • Manage high-volume telephone systems and ensure calls are handled promptly, professionally, and accurately.
  • Provide patients with information regarding appointments, insurance requirements, financial responsibilities, and available services.
  • Assist patients through registration and consent processes while maintaining HIPAA compliance.
  • Collaborate with clinical and interdisciplinary teams to support referrals and integrated care services.

Operational Support

  • Complete opening and closing procedures to ensure clinics are prepared for daily operations.
  • Monitor and communicate office supply needs.
  • Support site-specific operations, including screening procedures, exam room turnover, and dental workflows when necessary.
  • Participate in staff meetings, training programs, and quality improvement activities.
  • Perform additional duties as assigned to support departmental and organizational goals.

Required Education

  • High school diploma or equivalent required.
  • Associate degree in Healthcare Administration, Business, or a related field preferred.

Required Experience

  • Prior customer service experience required.
  • Experience in a healthcare, dental, or behavioral health setting preferred.
  • Familiarity with medical records procedures helpful.

Knowledge

  • Clinical office procedures and standard office equipment.
  • Electronic medical record systems (NextGen training provided).
  • Microsoft Office applications.
  • Multi-line telephone systems.
  • Customer service and patient communication best practices.

Licenses / Certifications

  • Basic Life Support (BLS) certification required.

Preferred Qualifications

  • Experience utilizing electronic medical or dental record systems.
  • Knowledge of clinical office workflows and healthcare terminology.
