Medical Receptionist or General Medicine Clerk

The Medical Receptionist will be responsible for performing daily reception duties, including answering phone calls and assisting callers; scheduling and checking daily appointments; and preparing routine correspondence related to clients. The incumbent is also responsible for scheduling appointments, utilizing a medical management records software program; checking insurance status of each appointment; and collecting fees for charges. S/he will also provide support to other staff members within University Health Services, when needed.

Examples of Duties:

  • Perform daily reception duties for the Department of General Medicine
  • Greet and direct visitors
  • Answer phone calls, assist callers and/or document messages and forward to the appropriate health care provider
  • Schedule and check daily appointments
  • Retrieve and return voice mail messages
  • Make and/or send out appointment reminder letters and/or phone calls in accordance with departmental protocol
  • Open and process mail
  • Prepare routine correspondence related to clients
  • Close and secure all front receptionist desk when last patient has checked out
  • Organize waiting area and remove any patient information from the desk and/or counters and file all records accordingly
  • Remove patient charts from desk and sort and file
  • Ensure that all patient's seen that day have been logged into the electronic health record system
  • Monitor the waiting room and patient area to insure that all patients have been checked in
  • Communicate any delays to the clinical area and to patients to maintain the efficient patient flow
  • Coordinate with health care providers any emergent situations
  • Responsible for the registration of patients ensuring that all required demographic and insurance information is accurately collected and/or updated
  • Ensure that the privacy policy has been read and signed by the patient and scan into the electronic health record system
  • Check out patients and schedule follow-up appointments, if necessary
  • Collect fees for charges and any outstanding balances as appropriate
  • Verify all students' immunization records in accordance with all state and departmental regulations for attendance at the university
  • Enter immunization records into electronic health record system and other university systems
  • Participate in quality improvement activities related to the reception area
  • May provide reception coverage for the Counseling Center, when necessary
  • Perform other duties as required

Minimum Qualifications:

The incumbent must have at least three years of full-time, or equivalent part-time experience, in office work. Knowledge of student health insurance preferred. Knowledge of clerical office practices and procedures including record keeping, office correspondence control and the uses of office equipment and supplies.
