Job Summary

Manage daily patient and physician scheduling using a Practice Management system for ordering labs, diagnostic test orders, and scheduling doctor's visits, follow-up appointments, hospital procedures, and surgeries as needed. Schedule appointments to optimize patient satisfaction, provider time, and treatment room utilization. Confirm appointments and scan orders into the Electronic Medical Record (EMR). Assignments may be of a confidential nature and require judgment and discretion at all times.

Job Responsibilities

  • Answer telephone calls and direct them to appropriate staff, make daily patient, physician, and other phone calls. Receive and route messages, correspondence, and administrative documents to the appropriate staff.
  • Perform phone system/answering service functions.
  • Manage the physician's calendar as needed.
  • Greet visitors and patients.
  • Perform patient check-in and check-out, including full registration when necessary, determining all insurance coverages as primary, secondary, tertiary, etc., and completing required paperwork for all appropriate patients.
  • Respond to patient, prospective patient, drug reps, and visitor inquiries in a courteous manner.
  • Collect co-pays and outstanding balances.
  • Obtain, record, and update personal and financial patient information and signatures from patients as determined by Medicare, State, and Federal guidelines. Must stay abreast of current insurance rules and policies.
  • Maintain cash drawer, log co-pays and other payments, and reconcile balances. May prepare and reconcile deposit slip.
  • Verify referrals and perform pre-certifications as appropriate. Type, mail, fax correspondence as needed, including sending patient letters, new patient paperwork, etc. Manage various work queues in EMR as needed.
  • Order office supplies and maintain front office and reception area cleanliness.
  • Perform all other clerical duties as assigned.

Required Skills & Experience

  • One to three years of experience in Customer Service.
  • Proficiency in copier, fax, telephone system, postage equipment, and computer skills (Microsoft Outlook, Word, and Excel).
  • Ability to multi-task and maintain confidentiality.
  • Strong verbal and social skills to facilitate respectful interactions with patients, physicians, visitors, co-workers, and drug reps in person or by telephone. Excellent customer service skills.
  • Excellent computer skills to utilize Electronic Medical Records systems to find and print records, scan new records into the system, and utilize the Practice Management System to check patient visits, enter registration data, and scan insurance cards or other identification.
  • Knowledge of health insurance coverage and requirements.
  • Ability to make change if co-pays are collected, post, and balance the log sheet (basic math).
  • Analytical skills required to make decisions based on the facility and clinical situation at hand.
  • Knowledge of and compliance with HIPAA privacy requirements.

Schedule Notes

13 weeks

Shift: Monday - Friday 7:30 am-4:00 pm - May change slightly depending on provider start time.
