The Medical Office Receptionist is responsible for delivering exceptional customer service, accurately documenting communications, and efficiently managing phone calls, faxes, and other administrative duties. This is an on-site position with a set schedule of Monday through Friday, 8:00 AM to 5:00 PM.
This position requires a high level of professionalism, trustworthiness, and a friendly, confident demeanor. Daily expectations include strong communication skills (both verbal and written), the ability to multitask and prioritize effectively, professional documentation, excellent time management, and great attention to detail.
Responsibilities:
Answer incoming telephone calls promptly and professionally for both the Meridian and Nampa clinics, ensuring all missed calls are returned the same day and triage notes are created on all calls regarding patients.
Manage and route incoming and outgoing faxes for both Meridian and Nampa clinics to the appropriate department or staff member.
Maintain strict confidentiality and comply with all HIPAA Privacy laws.
Respond to customer inquiries and provide excellent customer service at all times.
Assist patients and family members with access to and using the electronic patient portal.
Notify the Scheduling Coordinator of new admissions in a timely manner.
Accurately and thoroughly document all patient-related communications in the Electronic Medical Record (EMR) system.
Collect patient payments via telephone and enter data into the system.
Scan documents, including incoming mail, into the EMR system as appropriate.
Respond to all types of communication (phone, email, fax, and portal) promptly and professionally.
Maintain office supply inventory and alert management when restocking is needed.
Greet clinic patients, manage provider schedules, verify demographic and insurance information, and ensure all required consent forms are completed and signed.
Support team members and management as needed with other administrative duties.
Perform other duties as assigned.
Requirements:
High school diploma or equivalent required.
Previous experience in a medical office setting preferred.
Excellent communication and customer service skills.
Ability to multitask, prioritize, and remain organized in a fast-paced environment.
Strong attention to detail and accuracy.
Proficiency in Microsoft Office Suite or similar software.
