Description

Full-Time Medical Receptionist (No Routine Travel Required)

Advanced Eye Care is a fast‑paced, patient‑centered ophthalmology practice serving our community with compassion, expertise, and exceptional service. We are seeking a Medical Receptionist who enjoys helping patients, and brings a calm, positive presence to the front desk.

Our reception team is the first point of contact for up to 85 patients per day, and plays a critical role in ensuring smooth clinic flow, accurate information, and an outstanding patient experience. A professional, customer service orientation is critical to the position.

What You’ll Do

You’ll be part of a collaborative front desk team responsible for creating a welcoming, efficient, and well‑organized patient experience. Daily responsibilities include:

  • Greeting and checking in patients; verifying demographics and insurance; collecting co‑pays and balances
  • Scheduling appointments according to clinic protocols
  • Managing a high‑volume, multi‑line phone system with professionalism and warmth
  • Reviewing and processing online appointment requests and digital intake forms (Klara)
  • Maintaining accurate insurance information and recognizing differences between PPO, POS, and HMO plans
  • Scanning insurance cards and required documentation
  • Reviewing and processing messages from the on‑call service
  • Managing incoming faxes and routing them appropriately
  • Assisting with patient balance inquiries and processing payments, including Card‑on‑File transactions
  • Selling over‑the‑counter products and cataract evaluation prep supplies
  • Coordinating care with outside providers and obtaining medical records
  • Keeping the reception and waiting areas clean and organized
  • Participating in staff meetings and completing projects assigned by the Office Manager

Required Experience & Skills

  • 2+ years of experience in a medical office or clinic (ophthalmology preferred)
  • Knowledge of medical practice operations, especially optometry/ophthalmology
  • Familiarity with Medicare, Medicaid, and managed care plans
  • Experience with multi‑line phone systems and standard office equipment
  • Understanding of medical records policies and compliance requirements
  • Medical terminology knowledge (ophthalmology preferred)
