Job Description

The Advanced Medical Support Assistant (AMSA) will provide comprehensive administrative and patient support services to VHA facilities throughout Northern California, including San Francisco, San Bruno, Santa Rosa, Oakland, Eureka, Clearlake, and Ukiah. AMSAs will support daily healthcare operations through patient registration, appointment scheduling and coordination, check-in/check-out, medical record management, data entry, documentation, and patient follow-up. Personnel will utilize VA electronic health record and scheduling systems to maintain accurate patient information, coordinate appointments across providers, and facilitate timely access to care. AMSAs will also support communication, document management, reporting, and other administrative functions while maintaining the highest standards of patient privacy, confidentiality, and information security.

Job Responsibilities

Schedule and coordinate patient appointments
Answer incoming telephone calls and assist Veterans with scheduling and general inquiries
Check patients in and out while updating demographic information
Enter and maintain accurate information in the VA's computerized patient record system
Coordinate with providers and clinical staff to support efficient patient care
Perform general clerical and administrative duties
Maintain patient confidentiality and comply with VA policies and procedures
Work independently while managing multiple priorities in a fast-paced environment

Qualifications

Must possess at least 6 months of general clerical experience as well as 6 months of experience with using computer programs that focus on general scheduling.

Possess the ability to type 45-60 wpm with minimum errors.

Knowledge of EHR systems: Ability to navigate and use EHR systems like CPRS (Computerized Patient Record System) or other VA-specific platforms.

Data Entry: Efficiency and accuracy in entering patient information, updating records, and retrieving patient data.

Documentation: Competence in documenting patient interactions, medical history, and treatment plans.

Scheduling Software: Mastery of scheduling tools and software used for managing patient appointments, including cancellations and rescheduling.

Coordinating Appointments: Ability to balance and prioritize appointment schedules for multiple healthcare providers.

Reminders and Follow-ups: Implementing automated reminder systems and follow-up procedures to ensure patient attendance and compliance.

Medical Coding: Understanding and application of ICD-10, CPT, and HCPCS codes for accurate patient billing.

Insurance Processing: Handling medical claims, verifications, and pre-authorizations with various insurance providers.

Billing Software: Proficiency in using billing and financial management software.

Office Suite Tools: Effective use of Microsoft Office Suite (or similar tools),including Word for documentation, Excel for data management, and Outlook for communication.

Communication Systems: Proficiency in using office communication systems such as email, telephones, fax machines, and paging systems.

Document Management: Organizing, scanning, and managing physical and electronic documents efficiently

Patient Registration: Competence in registering new patients, verifying demographics, and updating patient information.

Check-in/Check-out Process: Efficiently handling patient check-in and check-out procedures, including verifying insurance and collecting co-pays.

Record Maintenance: Ensuring patient records are up-to-date and securely maintained.
HIPAA Compliance: Adhering to HIPAA regulations and other relevant privacy laws for handling PHI (Protected Health Information).

Data Security: Understanding and implementing security protocols to protect patient data from unauthorized access or breaches.

Confidentiality: Maintaining the confidentiality of all patient information through secure communication and storage practices.

Data Reporting Tools: Using reporting tools to generate and interpret data reports for patient care management and operational efficiency.

Analytics: Analyzing data trends to support clinical and administrative decision-making.
Software Training: Participation in ongoing training sessions for new and existing software tools.

Technology Updates: Staying informed about technology updates and best practices in healthcare administration.
