New England Cancer Specialists (NECS) is currently seeking a full time, Monday-Friday, Front Desk Medical Receptionist in Westbrook Rock Row. The Receptionist is responsible for greeting patients with a smile and promotes a smooth flow of patients through the office helping to create a calm, supportive atmosphere. Adheres to outlined check-in process for every patient displaying attention to detail and accuracy. Collects co-pays from patients per insurance plans. Documents demographic and insurance changes into Billing Software and Electronic Medical Record (EMR). Communicates promptly and accurately with all other departments using phone, email and paging system as designated. Assists all patients checking in with forms and paperwork. Compliant with all HIPPA guidelines; maintaining strict confidentiality. Follows all business office procedures for closing Front Desk at the end of each day. Conducts all interactions with patients and personnel in a courteous, respectful manner while maintaining confidentiality. Conducts all job responsibilities consistent with office policies and procedures and in compliance with all applicable laws or mandates relating to patient care and business activities.

Responsibilities

  • Responsible for having computers on, waiting room picked up, lamps and television turned on and door unlocked by 7:30am.
  • Responsible for checking patients into the office for lab works, visits and/or treatment.
  • Responsible for obtaining accurate and up-to-date registering insurance, including scanning of insurance cards and registering insurance page from new patients and presents patient with HIPAA policy.
  • Collects co-payments when applicable.
  • Reviews superbills for the next day and adds note in schedule on those patients whose cards need to be scanned or those who need to update registration forms.
  • Uses pager system to alert the lab for lab only visits.
  • Pages Research on all patients who are in a study - noted by microscope on right side of schedule.
  • Uses Dashboard to send messages to nurses. Uses phone and pager system to reach members of Leadership. Uses phone to reach administrative staff.
  • Each morning checks the financial tab for co-pays that haven’t appeared on check-in screen.
  • Keeps list of new patients for the day being sure that both the chart and superbill have been received at the front desk prior to patient’s visit.
  • Becomes comfortable using the MMC EPIC to obtain missing information on patients i.e.: social security #, DOB, or insurance information.
  • Asks identified patients to obtain additional referrals from PCP and gives letter to the effect.
  • Notifies the Financial Advocate of insurance changes on patients receiving treatment.
  • Alternates weekly between opening and closing the office.
  • Provides coverage for the other receptionist’s vacation and other PTO. Follows NECS policy for requesting time off.
  • Twice daily or as needed is responsible for keeping the waiting room neat, organized and magazines up-to-date.
  • Keeps up-to-date with names of the other groups and physicians in the building in order to assist lost patients.
  • Keeps work area neat and organized
  • Any other duties as deemed necessary

Required Experience:

  • High school diploma or GED required.
  • Graduate from a medical secretarial program preferred
  • Associates Degree Preferred
  • Minimum one year prior clerical and/or Medical Secretary experience in a health care field.
  • Exceptional customer service experience required.
  • Ability to organize and coordinate multiple activities
