Medical Records & Patient Intake Coordinator

Pay: $30.00 - $32.70/hr, paid weekly
Schedule: Monday-Friday | 8:00 AM - 5:00 PM
Location: Los Angeles, CA 90033 (100% On-Site)
Duration: Through December 31, 2026, with potential extension to cover an additional parental leave
Dress Code: Business Casual

Summary

Support the Healthcare Navigator team by coordinating medical records, preparing patient charts, managing referrals, and assisting with administrative workflows. This role plays a critical part in ensuring patients are fully prepared for scheduling and clinical care by maintaining accurate documentation and facilitating timely communication between providers, patients, and outside healthcare facilities.


Key Responsibilities

Medical Records & Documentation

  • Request medical records from outside clinics, hospitals, laboratories, and imaging centers.
  • Receive, process, and upload radiology images and medical records into patient charts.
  • Create new patient charts in Cerner and accurately populate them with external documentation.
  • Prepare patient charts by ensuring medical records, authorizations, referrals, and required documentation are complete.


Referral & Patient Coordination

  • Monitor incoming referrals and escalate urgent cases to the Healthcare Navigator team.
  • Manage shared email and electronic fax inboxes by routing or uploading documentation appropriately.
  • Send registration forms and patient information to new patients via email.


Administrative Support

  • Maintain accurate electronic records and documentation.
  • Support daily administrative operations to improve workflow efficiency.
  • Perform additional administrative duties as assigned.


Qualifications

  • High school diploma or GED required.
  • Bachelor's degree preferred.
  • Previous healthcare administrative, medical office, or back-office experience preferred.
  • Experience working with electronic medical record (EMR) systems; Cerner experience is highly preferred.
  • ENT/Otolaryngology (OHNS) experience is a plus.


Skills

  • Strong attention to detail and organizational skills.
  • Ability to work independently and manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficient with Microsoft Outlook, Teams, Word, and Excel.
  • Experience uploading, downloading, scanning, converting, and organizing electronic documents (PDF, Word, image files).
  • Familiarity with electronic fax (eFax) platforms.
  • Strong data entry and documentation accuracy.
