A healthcare practice is seeking a detail-oriented and organized Medical Scheduler to coordinate patient procedures, provider schedules, facility scheduling, documentation requirements, and related administrative tasks. This role is ideal for someone with medical office experience, strong communication skills, and the ability to manage scheduling details accurately in a fast-paced healthcare environment.
This is a full-time, daytime position with no weekends.
Position Summary
The Medical Scheduler is responsible for coordinating patient scheduling needs, including procedures, provider availability, facility schedules, required documentation, and clinical information. This position works closely with practice staff, providers, facilities, and other internal teams to help ensure patients are scheduled efficiently and receive the information and support needed for their care.
The ideal candidate is dependable, organized, patient-focused, and comfortable handling sensitive medical information while following all privacy and compliance requirements.
Key Responsibilities
Coordinate patient appointments, procedures, and related scheduling needs
Obtain CPT codes, ICD-10 diagnosis codes, and other required clinical information from practice staff
Seek assistance from practice staff, facility teams, or coding resources when additional information is needed
Determine scheduling needs, including procedure timing, facility availability, and required resources
Work with facilities to schedule procedures and help ensure the daily schedule is organized and efficient
Confirm necessary anesthesia coverage, equipment, instruments, medical records, imaging records, and other procedure requirements as applicable
Verify that providers are credentialed at the appropriate facility before scheduling patients
Coordinate provider clinic schedules with facility schedules
Maintain awareness of provider availability, travel, meetings, time away, conferences, and continuing education commitments as needed
Communicate scheduling details clearly with patients, providers, practice staff, and facility teams
Support accurate documentation and timely follow-up related to scheduling activities
Maintain patient confidentiality and follow all privacy, safety, and compliance requirements
Support office policies, procedures, code of conduct expectations, and organizational standards
Perform other duties as assigned
Qualifications
High school diploma or GED preferred
Minimum of one year of experience in a medical office setting highly preferred
Strong communication, organization, and attention to detail
Ability to coordinate multiple schedules and manage time-sensitive information
Basic computer skills and experience with electronic health records or scheduling systems preferred
Ability to work in a fast-paced healthcare environment
HIPAA training and/or a current HIPAA certificate is required
Ability to maintain strict confidentiality and protect patient information at all times
