Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals.     • Provide support to Department Chair, Clinical Administrator, & all faculty to include composing letters as assigned by faculty.
    • Is responsible for handling incoming and outgoing correspondence. Assist with answering multi-line telephone for Pathology.
    • Assists with scheduling meetings for Chair, Vice Chair, & faculty. Receive and Distribute TMC case slides.
    • Assists with QGenda schedule for UMC, EPCH, & THOP Hospitals.
    • Assist with maintaining revisions on schedules, as necessary.
    • Compile Medical Director Logs.
    • Prepare credentialing packets for all faculty for TTUHSC, UMC, THOP, & EPCH.
    • Assist faculty members with data entry in Digital Measures, maintenance of CME logs, & receive and prepares outside consults.
    • Assist with faculty recruitment process & assists preparation of travel reimbursements and track payment.
    • Responsible for tracking Pathology Department inventory, including the maintenance and ordering of equipment for the department.
    • Assists in preparing requisitions in TechBuy, purchase orders and faculty reimbursements.
    • Generates reports through UMC SoftPath for Chair and faculty such as patient report, pending list & case logs.
    • Enter pathology reports into electronic health record system.
    • Print face sheets and create coding sheets, scan and email to main pathology administration office.
    • Remain current with all licensures, certifications, and mandatory compliance and training requirements for this position.
    • Adhere to all policies, procedures, and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
    • Personally demonstrate, display and act in accordance with TTUHSC EP''s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).
    • Serve as a Value''s leader while actively promoting and encouraging staff across the institution.
    • Perform all other duties as assigned.

    • Language Skills: Demonstrate outstanding proficiency in grammatical skills and spelling. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to independently write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organizations.
    • Reasoning Abilities: Ability to deal with problems involving several concrete variables in standardized situations.
    • Other Skills and Abilities: Working knowledge of medical and scientific terminology. Performs satisfactorily under pressure of deadlines Displays exceptional accuracy and skillful use of a personal computer and assigned software.
    • Demonstrates proficiency in various software programs: Word 2013 (required) and Excel 5.0 (preferred).
    • Detail-oriented with superb organizational skills; Independent worker.

    • A minimum of a High school diploma or GED.
    • At least 90 days experience as a Medical Secretary Trainee.
      • OR * Three years of secretarial experience with 1 year in a medical or educational setting.
