Job Description

Alabama State University, Division of Student Affairs, Health Services, invites applications to fill the position of Medical Secretary. The selected candidate will serve as the first point of contact for all clients, handles inquiries about the clinic, prepare documents for medical records, schedule appointments, request diagnostic tests, arrange and sort out medical files, and assist in the organizing of various health educational activities for the university population

Duties and Responsibilities:

  • Perform a wide range of duties which involve handling of files and collection of personal and health information for patients to have a complete database of patients
  • Provide excellent customer service
  • Prepare correspondence, memoranda, reports and instruction sheets, forms statistical data or other work of the administrative unit
  • Arrange and sort out patient files in alphabetical order, keep files in assigned location and retrieve files when patients visit the clinic, present files to the health care professional as needed and properly file after the patients visit
  • Review patient contact information periodically to ensure outdated data is updated
  • Supports the University mission and Health Centers goals and objectives
  • Confirm the readiness of diagnostic test results and ensure nurse signs off when placed in the patients chart
  • Prepare correspondence, memoranda, reports and instruction sheets, forms, statistical data or any other material, and proofread all material prepared to ensure accuracy
  • Initiates the training of student workers
  • Assist with all educational activities/programs related to health awareness
  • Assist students with university insurance matters
  • Maintain accurate and organized records of all departmental purchases, equipment, travel, statistical date, daily office activities, programs and appointments
  • Render limited kinds of administrative assistance as directed
  • Receive and place telephone calls, schedules appointments, meetings, and make reservations
  • Prepare requests for office supplies, and receive such supplies
  • Perform general office management duties and recommend methods for improving office procedures, and perform other duties as assigned

Minimum Qualifications

An Associates degree in Secretarial Science, Office Administration or, certified as a medical technician, with a minimum 1 year of medical office administration experience to include working knowledge of medical office management practices and procedures required. A typing proficiency exam of 40 net words per minute is also required.

Proficiency exam results must be submitted to ASUs Office of Human Resources by the closing date of the announcement. Proficiency exams administered by ASUs College of Education, and state Employment Service Centers are accepted.
