The Medical Services Operations Manager provides operational leadership for Medical Services across Compass Health’s service lines, clinical sites, and programs. This position plays a key role in ensuring Medical Services has the staffing models, operational infrastructure, performance systems, and capacity necessary to support access, quality, compliance, and financial sustainability.
Working in partnership with the Chief Medical Officer (CMO), MA Supervisor, and other organizational leaders, the Medical Services Operations Manager oversees provider capacity, workforce planning, productivity, performance improvement, KPI development, and operational execution.
The ideal candidate brings healthcare operations expertise, strong analytical and project management skills, and an understanding of behavioral health and medical service delivery systems to drive continuous improvement and support exceptional patient outcomes.
Provide operational leadership for Medical Services functions across multiple counties, clinical sites, and programs.
Develop, implement, and monitor operational workflows that improve efficiency, access to care, and patient experience.
Partner with the CMO to establish operational priorities, annual goals, and strategic initiatives.
Oversee provider workforce allocation, productivity expectations, workload balancing, and capacity optimization across Medical Services programs.
Lead implementation and optimization of Medical Services policies, procedures, and operational standards.
Collaborate with agency leadership to support organizational growth, service expansion, and program development.
Establish provider panel standards and caseload expectations.
Monitor provider utilization and productivity across service lines.
Forecast future service demand using referral, access, and utilization data.
Recommend resource redistribution to optimize patient access and provider capacity.
Lead initiatives to reduce wait times and improve appointment availability.
Develop, maintain, and monitor key performance indicators (KPIs) for Medical Services operations.
Develop reports and operational analyses for the CMO.
Track and analyze provider productivity, patient access and wait times, caseload volumes, appointment utilization, no-show and cancellation rates, revenue and reimbursement performance, and documentation compliance.
Identify performance improvement opportunities through data analysis and operational reviews.
Develop recommendations and action plans based on operational and financial performance data.
Support agency quality improvement and performance management initiatives.
Partner with Information Technology and organizational leadership to optimize electronic health record (EHR) workflows.
Support Medical Services participation in system upgrades, workflow redesign, and implementation initiatives.
Coordinate operational activities involving psychiatrists, psychiatric nurse practitioners, nurses, medical assistants, and other Medical Services staff.
Develop workforce plans based on projected service demand, provider productivity trends, and organizational growth initiatives.
Establish and monitor staffing models that support sustainable coverage, productivity, and access targets across Medical Services.
Monitor operational performance to support financial sustainability and effective service delivery.
Support revenue cycle optimization related to Medical Services.
Collaborate with Finance and Accounts Receivable teams to identify and address operational barriers affecting reimbursement and collections.
Develop and maintain Medical Services operational scorecards and KPI frameworks.
Establish productivity benchmarks for psychiatric and medical providers.
Monitor performance against access, quality, productivity, and financial targets.
Lead operational performance reviews with Medical Services leaders.
Identify operational risks and implement corrective action plans.
Build accountability mechanisms that support continuous improvement.
This position may directly supervise Medical Services administrative staff and/or operational support personnel, including Medical Schedulers.
Supervisory responsibilities may include:
Hiring, training, coaching, and performance management.
Staff development and succession planning.
Workload allocation and scheduling.
Conducting performance evaluations.
Supporting employee engagement and retention initiatives.
Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, Nursing, Behavioral Health Administration, or a related field preferred. Commensurate experience may be considered in place of a degree.
Minimum five (5) years of healthcare operations experience.
Minimum three (3) years of experience in behavioral health, medical services, community health, or a related healthcare setting.
Experience with provider productivity management and workforce planning.
Experience managing multi-site healthcare operations preferred.
Experience working within behavioral health and integrated care environments strongly preferred.
Advanced proficiency with Microsoft Excel, business informatics, and reporting systems.
Experience working with electronic health record (EHR) systems.
Strong data analytics and business intelligence skills.
Familiarity with healthcare reimbursement, productivity measurement, and regulatory requirements.
Strong understanding of behavioral health service delivery systems.
Knowledge of psychiatric and medical practice operations.
Strong organizational and project management skills.
Exceptional written and verbal communication skills.
Ability to influence and collaborate effectively across multidisciplinary teams.
Demonstrated ability to manage competing priorities in a fast-paced healthcare environment.
