    About the Role

    Judit Inc. is building its administrative staffing team to support the Hampton VA Healthcare System. MSAs are considered a chief source of patient care and patient flow information — coordinating appointments, processing community care referrals, and serving as the first point of contact for Veterans across Hampton VAMC and its outpatient clinics.

    What You'll Do

    • Serve as a chief source of patient care and patient flow information; interpret and verify provider orders per VHA National Scheduling Directive guidelines.
    • Schedule, cancel, and reschedule patient appointments and consults; enter no-show information; prepare for clinic visits.
    • Enter recall reminders in the VistA Scheduling GUI; monitor recall/delinquency processes; ensure encounter forms are completed for workload credit.
    • Respond to VistA, VistA Scheduling GUI, and CPRS alerts; scan insurance cards and complete Insurance Capture Buffer (ICB) encounters.
    • Help patients complete Release of Information (ROI) forms and route them to the ROI team.
    • Teach patients to use My HealtheVet secure messaging, authenticate access, and relay messages between patient and provider.
    • Make and receive phone calls; provide front-line reception support in Eligibility offices and other administrative areas.
    • Support Community Care: contact Veterans for scheduling preferences, schedule/reschedule with community providers, confirm attendance, and request/index medical records.
    • Perform Travel Clerk duties as assigned: review and reconcile travel reimbursement claims, review ambulance claims for eligibility/payment, and arrange transportation for eligible patients.
    • Support Health Information Management by scanning/uploading outside medical records into the EMR.
    • Cover workload for administrative staff on leave, bridge staffing gaps, and adapt quickly across clinics or areas as needed.

    What You'll Need

    • U.S. citizen (this contract requires citizenship, not just residency)
    • Proficient in spoken and written English
    • 6 months of clerical, office, customer service, or other qualifying administrative experience; OR 1 year of education above high school; OR an equivalent combination of both
    • Able to type an average of 40 WPM — data entry is a primary responsibility
    • Basic knowledge of office equipment/software and computerized patient record system functionality
    • Able to work independently and self-directed, setting priorities and coordinating a wide variety of tasks
    • Dependable, with good judgment to protect Veteran welfare

    Before You Start

    • Pass a Tier 1/Low Risk background investigation (National Agency Check with Inquiries — NACI) and complete fingerprinting at the nearest VA Medical Center
    • Obtain a VA Personal Identity Verification (PIV) card before your first day of work
    • Complete a ten-day MSA training course before performing work on the contract
    • Complete VA Medical Support Assistant/Scheduling training during your first two weeks at the local VA facility
    • Complete annual HIPAA/patient privacy training and VA Cybersecurity Awareness and Rules of Behavior training
    • Complete Basic Integrity and Compliance Awareness Training before accessing any VA facility
    • Provide current Tuberculosis (TB) test results and complete infection control training before starting

    This position is contingent upon Judit Inc.'s award of the referenced VA contract.
