Pay: $20.00/hour

SUMMARY:

This is a multi-position role performing the duties of client referrals, medical records and insurance approval of prescription drugs and referrals. Under direction of the Supervisor of Medical Records and Referrals and the Patient Services Manager, the Medical Services Representative provides a variety of services for patients, and visitors including: ensures that all patient referrals and records are entered into the data base on a daily basis; collects patient medical records and personal data, scans and enters data into patient charts, works with providers and medical records and referral teams to process referrals and helps patients schedule outside medical needs. The Medical Services Representative maintains and retains superior customer service behaviors at all times to ensure patient satisfaction.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Prepares and maintains medical and behavioral health charts/records, forms, registration materials, and other related documents, including data entry and retrieval in a timely manner and reviews and audits for accuracy in accordance to HIPAA.
  • Generates patient referrals to medical specialists as ordered by Primary Care Providers (PCP), using the appropriate channels as dictated by the patient's health insurance carrier within specific time frames.
  • Safeguards confidentiality of the medical and behavioral health charts/records and complies with all local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
  • Participates as a team member with Medical Services staff, attending Medical Services meetings and continuing education in-services and assisting all team members with department duties and needs
  • Assists with telephone calls to Medical Services by pulling medical charts/records for patients as needed as well as releases of information and requests for medical records.
  • Focuses on customer's well-being and HIPAA compliance
  • Verifies insurance benefits for patients. Upon change of insurance coverage, documents covered benefits on the insurance verification form.
  • Participate in agency wide quality assurance and improvement as needed.
  • Assists patients in scheduling appointments for referrals when needed.
  • Maintains established department procedures, objectives, and quality assurance, safety, environmental, and infection control and suggests corrections or process improvements

  • Participates in emergency preparedness plan as dictated by the policy and procedures.
  • Performs other duties as assigned.
  • Must be able to travel sometimes to different locations.

QUALIFICATIONS, KNOWLEDGE, SKILL REQUIRED:

  • Minimum of a High school diploma.
  • Experience in customer facing customer service positions
  • Two of the three are required
  • Minimum 1 year of recent Medical records and/or medical data entry required.
  • Minimum 1 year of recent Verifying medical insurance
  • Minimum 1 year of recent referral coordination
  • Minimum 1 year of recent experience in CPT 10 and ICD-12 coding
  • Computer literacy required.
  • Excellent oral and written communication skills.
  • Spanish speaking desirable
