Summary:
We are seeking a highly organized and detail-oriented Meetings & Events Sourcing Consultant to support our Meetings & Events team. This role is responsible for corporate meeting and event venue sourcing, supplier negotiations, contract management, and administrative support activities. The consultant will work closely with internal stakeholders and external suppliers to identify venue solutions, manage sourcing activities, negotiate contracts, and ensure compliance with established policies, procedures, and risk requirements.
The ideal candidate is a self-starter who thrives in a fast-paced, high-volume environment and has a strong background in hospitality sourcing, hotel sales, meeting planning, or event contracting. This position requires managing multiple simultaneous assignments while maintaining exceptional attention to detail and customer service
Potential travel may be required.
Responsibilities:
Venue Sourcing & Supplier Contracting
Manage venue sourcing activities for multiple concurrent meetings and events.
Utilize Cvent Supplier Network (CSN) or similar venue sourcing platforms to conduct venue searches, issue RFPs, evaluate proposals, and communicate with suppliers.
Analyze venue options and provide recommendation summaries outlining advantages, challenges, and overall fit for meeting objectives.
Negotiate supplier agreements, including hotel and venue contracts, rates, concessions, cancellation clauses, and attrition terms.
Support sourcing and contracting activities for multiple concurrent events.
Partner with meeting planners, stakeholders, and suppliers to ensure successful sourcing outcomes.
Assist with sourcing restaurants, speakers, meeting venues, and other event-related suppliers.
Ensure sourcing and contracting activities comply with procurement, legal, risk, and third-party management requirements.
Administrative & Contract Management Support
Prepare, review, and process contracting documentation using established templates and procedures.
Manage contract routing and approvals through Docusign.
Upload and maintain contracts and supporting documentation within Ariba and other internal systems.
Track contract status and ensure timely completion of required documentation.
Maintain accurate records of sourcing activities, negotiations, and supplier communications.
Support the overall Meetings & Events team with administrative and operational tasks.
Qualifications:

Professional experience in one or more of the following areas:
Corporate meeting and event planning
Venue sourcing
Hotel sales
Catering
Convention services
Hospitality sourcing and contracting
Hands-on experience using Cvent Supplier Network (CSN) or equivalent venue-sourcing technology.
Proven hospitality industry experience working with meetings, events, hotels, venues, catering providers, or related suppliers.
Experience reviewing and negotiating meeting, event, tradeshow, or hospitality supplier agreements.
Ability to manage multiple sourcing and contracting assignments simultaneously in a high-volume environment.
Working knowledge of hotel and supplier commercial terms, including:
Room rates
Concessions
Attrition clauses
Cancellation provisions
Contract terms and conditions
Experience conducting venue searches, issuing RFPs, evaluating proposals, and documenting sourcing decisions.

Experience supporting sourcing, contracting, supplier negotiations, or hospitality-related procurement activities.
Ability to remain organized, responsive, and effective while managing competing priorities and deadlines.
Experience in financial services or another highly regulated industry. (preferred)
Familiarity with enterprise procurement, third-party risk management, supplier management, or contracting processes.
Experience with Docusign and Ariba.
Supplier relationship management experience.
Experience developing bid comparisons, financial analysis, or supplier recommendation materials.
Openness and willingness to incorporate AI tools into daily work activities.
Experience supporting geographically dispersed stakeholders or enterprise-wide meeting programs.
CMP (Certified Meeting Professional) designation or other relevant hospitality, event management, sourcing, or contracting certifications. (preferred)
