Salary Range for this position is $65-75k

We offer a hybrid workplace with three days onsite in our corporate office-Tuesday through Thursday in Andover, MA

The Member Operations Specialist position will support hauler payroll processing, financial reporting, transportation operations, and member program administration. This role is responsible for ensuring accurate and timely compensation, maintaining critical payroll and financial data, and delivering insights that support operational performance and cost management. 

In addition to payroll and financial responsibilities, this position plays a key role in hauler scheduling, performance tracking, dispatch coverage, and member program support, including maintaining member data, coordinating key events, and supporting member-facing initiatives. 

This position requires strong analytical and organizational skills with attention to detail and a customer-focused mindset and the ability to collaborate effectively across finance, operations, and member stakeholders to support efficient, reliable, and service-oriented operations.  

What you'll be doing:

Hauler Payroll & Compensation Administration 

  • Manage end-to-end hauler payroll processing, including base pay, adjustments, and accessorial compensation. 
  • Maintain accurate payroll records, including rate updates, corrections, and recoverable advances. 
  • Validate supporting documentation to ensure accuracy prior to payroll processing. 
  • Distribute payroll summaries and supporting information to haulers. 
  • Support year-end reporting requirements, including 1099 preparation. 

 Invoicing & Adjustment Management 

  • Prepare and process invoices for service delays, accessorial charges, and non-standard compensation. 
  • Ensure all adjustments are accurately calculated, documented, and aligned with agreements. 
  • Partner with internal teams and vendors to resolve billing discrepancies

 Financial Reporting & Reconciliation 

  • Prepare payroll reports and support monthly financial close, including journal entries. 
  • Reconcile payroll-related general ledger accounts and investigate variances. 
  • Provide regular reporting and insights on costs, trends, and performance. 
  • Maintain documentation to support reporting accuracy and audit readiness. 

Audit & Compliance 

  • Maintain documentation to support internal controls and audit requirements. 
  • Ensure compliance with payroll and tax reporting, including 1099 processes. 
  • Track and report program-related financial activity, including lease income. 

Data Analysis & Continuous Improvement 

  • Analyze hauler payroll, cost trends, and operational performance. 
  • Track key metrics such as stop charges, route efficiency, and cost drivers. 
  • Develop and maintain Excel tools to improve accuracy and visibility. 
  • Identify and implement process improvements. 

  Dispatch Coverage, Scheduling & Performance Management 

  • Participate in a rotating on-call schedule to support evening, night, and weekend dispatch operations. 
  • Assist in coordinating monthly hauler scheduling to align capacity with operational needs. 
  • Track and analyze hauler KPIs, including service levels, reliability, cost efficiency, and schedule adherence. 
  • Provide insights to improve performance and support operational decision-making. 
  • Collaborate with operations leadership to address performance gaps and optimize utilization. 

On-Call Expectations 

This role includes participation in a rotating on-call schedule to support transportation operations outside standard business hours. Coverage may include evening, overnight, and weekend support to ensure continuity of service. 

What we are seeking:

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred. 
  • 3+ years of experience in payroll, financial operations, or logistics. 
  • Strong proficiency in Microsoft Excel, Word and payroll/accounting systems; DSI, AS400, BPICS or similar platforms a plus. 
  • Working knowledge of payroll processes, 1099 reporting, and accounting principles. 
  • Strong analytical, organizational, and problem-solving skills. 
  • Ability to manage multiple priorities and collaborate across teams
