Merchandising Operations Project Management Coordinator (Luxe Promo)

Founded in 1919 as Phototype and recently rebranded as the Olberding Brand Family, we are a family company focused on delivering the highest quality and client service in the graphics design, management and printing industry.   We Design, Optimize and Protect Brands.  Our clients are primarily consumer products companies and printers and we help them by delivering a broad range of services from brand strategy and packaging design, to adaptive design across various print and digital platforms, all the way to color management and the production of printing plates.  With our world headquarters located in Cincinnati, we have over 450 employees throughout the United States and offices in Europe and Asia.

We’re looking for a Merchandising Operations Project Management Coordinator to join our Integrated Partner Team supporting L’Oréal’s West Coast brands. In this role, you’ll bring to life the retail experiences from behind the scenes – coordinating projects, tracking regional data, managing vendor files and approvals, and ensuring every detail reflects L’Oréal’s brand vision. You’ll collaborate closely with Marketing, Visual Merchandising, Retail Design, and Sourcing teams, while also working directly with retailers and vendors to make products truly shine on the shelf. If you have a keen eye for visual merchandising but love the operation discipline of databases, timelines, budgets and cross-functional approval & tracking, then this role is a perfect fit.

What You’ll Do:
Merchandising Database & Planogram Support

Merchandising Project Support
  • Partner with key stakeholders for routing & approvals from brief through execution for in-store displays, gondolas, and secondary placements.
  • Schedule, participate in, and document action items for key project meetings to ensure seamless communication from concept to shelf.
  • Track and maintain project schedules based on critical dates for on-time, efficient, and cost-effective execution.
  • Ensure final merchandising items are delivered accurately to the Creative Operations and RDO teams.
Bring Retail Experiences to Life
  • Support Marketing and Visual Merchandising teams in developing, trafficking for approval, and maintaining planograms for retail updates, product launches, and secondary displays.
  • Update and maintain retailer databases, including door quantities and display formats, based on approved planograms.
  • Perform cross-checks of vendor production files against project briefs to ensure accuracy in product placement, inclusion, and naming across various retailer formats.
  • Review vendor-provided planograms and coordinate with VM and Marketing leads to consolidate feedback in the approval tool in accordance with RDO timelines.
Creative Operations & Workflow Optimization
  • Route artwork and merchandising materials through client tools for cross-functional approvals.
  • Utilize software (IWD) and AI tools to execute tasks and improve workflow efficiencies.
  • Proactively identify bottlenecks in the artwork routing and vendor approval processes to elevate overall project execution quality.
Who You Are
  • Beauty & Retail Focused: 3–5 years in visual merchandising, retail operations, or project management, bonus points for experience in beauty or luxury brands.
  • Organized & Detail-Oriented: A deep, intuitive understanding of visual merchandising guidelines combined with an obsession with spreadsheets, databases, and detail-oriented administrative tracking.
  • Creative & Collaborative: Outstanding written and verbal communication skills; comfortable coordinating with diverse stakeholders including external vendors, printers, and internal corporate design leads.
  • Tech-Savvy: High comfort level with project management systems (e.g., Wrike, ESKO, Mediabox), planogram software (IWD preferred), and the Microsoft Office Suite (especially Excel). Experience with ERP/inventory software (like SAP) or Adobe Creative Cloud is a major plus.
  • Client-Centric: Passionate about delivering exceptional results for clients, internal teams, and colleagues.
Qualifications include:
  • College degree (e.g., Bachelor of Arts) or equivalent experience within appropriate discipline such as Business, Graphic Arts, Marketing, Advertising, or an equivalent combination of education and experience sufficient to successfully perform the key accountabilities of the job required.
  • Experience with and understanding of full project or product lifecycle
  • Ability to demonstrate leadership, drive results, solve problems, and possess interpersonal skills from prior work situations
  • Experience gathering requirements, business analysis, and documentation
  • Strong communication skills plus the ability to establish, grow and maintain client relationships
Nice-to-Haves
  • Knowledge of cosmetics, beauty, or consumer product packaging.
  • Experience in retail production or merchandising at creative agencies.
  • Familiarity with project management tools and artwork approval platforms.
