Records Management Specialist

OCT Consulting is a business management and technology consulting firm that supports Federal Government clients. We provide consulting services in the areas of Strategy, Process Improvement, Change Management, Program and Project Management, Acquisition/Procurement, and Information Technology.

Responsibilities and Duties

OCT currently has an opening for a Records Management Specialist to work with our federal client. The client requires a mid-level Records Management Specialist to support the agency’s information management program at its Washington, DC headquarters. This role manages FOIA and Privacy Act processes, Salesforce CRM administration, SharePoint content management, and records governance across M365 and Salesforce platforms.

This position is contingent upon contract award.

Day to day responsibilities include:

  • Perform records management activities according to federal government privacy and legal requirements.
  • Assist in the development of analyses and reports associated with Freedom of Information Act (FOIA) and Privacy Act (PA) processes.
  • Manage the flow of FOIA and PA correspondence and requests; establish processes to provide prompt responses to requestors in accordance with FOIA policies, procedures, and guidelines.
  • Perform technical tasks involved in maintaining the Salesforce Customer Relationship Management (CRM) system.
  • Participate in the development of information management policies and governance of supporting applications on Microsoft 365 and Salesforce platforms.
  • Manage SharePoint sites content and permissions to ensure proper information governance.
  • Create and execute PowerShell scripts to produce reports and perform records management tasks.
  • Compile data for reports, transcribe reports, and maintain indexes.
  • Ensure that all work products are proofread and free of errors, omissions, and inconsistencies.

Requirements

  • Must be a U.S. Citizen.
  • Minimum three (3) years of experience in records management, FOIA processing, or information management in a federal government environment.
  • Demonstrated experience with Freedom of Information Act (FOIA) and Privacy Act (PA) processes and requirements.
  • Hands-on experience administering Salesforce CRM systems.
  • Proficiency with SharePoint Online administration, content management, and permissions management.
  • Experience with Microsoft 365 platform and information governance tools.
  • Proficiency with PowerShell scripting for reporting and records management automation.
  • Strong written communication skills with exceptional attention to detail and accuracy.
  • Knowledge of federal records management regulations, retention schedules, and privacy requirements.
  • Certified Records Manager (CRM), IGP, or equivalent records/information management certification preferred.
  • Bachelor’s degree in Information Management, Library Science, Public Administration, or related field preferred; relevant experience may be substituted for a formal degree.
  • Ability to obtain and maintain a Public Trust clearance; background investigation will involve credit, fingerprint, and law enforcement agency checks.
  • Must work primarily onsite in SW, Washington, DC 20024; limited remote work may be authorized.

Salary Range: $80,000 - $90,000 yearly commensurate with experience, education, etc.
