Beebe Middle School Office Secretary

Position Summary

The Middle School Office Secretary serves as the primary support staff member for the school office and plays a critical role in ensuring the efficient daily operation of the school. The secretary serves as one of the first points of contact for students, parents, staff, and visitors and is expected to maintain a professional, welcoming, and organized office environment. The position requires strong communication skills, confidentiality, attention to detail, and the ability to multitask in a fast-paced educational setting.

Essential Duties and Responsibilities

  • Serve as receptionist for the middle school office by greeting visitors, answering phones, and directing inquiries appropriately.
  • Maintain a professional and positive relationship with students, parents, staff, and community members.
  • Assist administrators, counselors, teachers, and office staff with clerical and organizational tasks.
  • Maintain accurate student records, attendance records, and office files.
  • Process student check-ins/check-outs and verify documentation as needed.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Prepare correspondence, reports, memos, forms, and other school-related documents.
  • Assist with student enrollment, withdrawals, and records requests.
  • Monitor office communications including phone calls, emails, and intercom announcements.
  • Operate standard office equipment including copiers, scanners, printers, and multi-line phone systems.
  • Assist with scheduling meetings, conferences, and school events.
  • Maintain confidentiality of student and personnel information in accordance with FERPA and district policies.
  • Support substitute coordination and other operational needs as assigned.
  • Assist with purchase orders, supply inventory, and office organization.
  • Provide assistance during emergencies and help maintain a safe and orderly office environment.
  • Perform other duties as assigned by the principal or district administration.

Qualifications

  • High school diploma or equivalent required.
  • Previous secretarial, clerical, or school office experience preferred.
  • Proficiency in Microsoft Office, Google Workspace, and student information systems preferred.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple tasks efficiently with frequent interruptions.
  • Ability to maintain confidentiality and professionalism at all times.
  • Strong interpersonal skills and ability to work collaboratively with staff, students, and families.

Physical Requirements

  • Ability to sit or stand for extended periods of time.
  • Ability to occasionally lift and move office materials weighing up to 25 pounds.
  • Ability to use office equipment and computers on a daily basis.

Work Environment

The work environment is primarily indoors in a school office setting with frequent interaction with students, staff, parents, and visitors. The position may involve occasional stressful situations requiring professionalism and sound judgment.

Evaluation

Performance of this job will be evaluated in accordance with district policy and administrative procedures.

Terms of Employment

Salary, benefits, and work calendar shall be established by the Beebe School District Board of Education.
