Position:
Our Blood Institute is looking for a Mobile Quality Assurance & Operational Support Managerwho will support key corporate functions within Donor Services, including contract coordination, budget support, billing and invoice management, vendor communication, quality-related administrative processes, and special projects. They will ensure OKC Mobiles operates within high quality standards, and that operational needs are met for supplies, equipment, and vehicles.
Qualifications:
- High school diploma or equivalent
- Must be 21 years of age or older
- Must have a valid drivers license
- Must be able to provide MVR with zero points and no moving/traffic violations in the past 3 years
- Strong organizational and attention-to-detail skills
- Basic financial and analytical skills
- Proficiency in Microsoft Excel, Word, PowerPoint
- Strong communication and collaboration skills
- Ability to work independently and in a team environment
- Strong knowledge of DS SOP's related to job duties
- Ability to work with staff in a calm, patient manner
- Strong written and verbal communication skills

- Flexibility to work weekends and evenings as needed
Primary Responsibilities:
- Coordinate and manage contract documentation for donor services equipment and vendors (e.g., Trima, Alyx, ProBP, and related services).
- Maintain accurate equipment inventory records for contract devices, including serial numbers and location tracking
- Track contract timelines, renewals, and approvals
- Assist with vendor communication, pricing, and contract details
- Maintain cost tracking tools and spreadsheets for equipment and services
- Support the annual budgeting process by working with DS Supervisor, Materials & Equipment compiling vendor pricing and expense data
- Review and verify vendor invoices for accuracy against contracts and equipment records
- Submit invoices for approval and payment processing
- Maintain organized documentation for contracts, invoices, and vendor communications.
- Manage and provide support for the DS Supervisor, Materials & Equipment to ensure the following: Adequate supplies and paperwork are available and kitted for all drives; Equipment is in good working order and all calibrations and PM's are performed as required
- Ensure QC is performed and reviewed for all equipment
- Ensure ACPRs and records are reviewed and stored for all automated procedures
- Provide completed KPI's to staff monthly
- Develop annual budget and provide quarterly variance reports
- Manage the OKC Mobile Platelet Team
- Other duties as assigned
