About the Mortgage Administrative position
M2 Lending Solutions is looking for a friendly, organized, and detail-oriented Administrative Specialist to join our team! You will help with overseeing the day-to-day needs of our office space, interact with customers, and support staff with data entry tasks and projects. Your work will contribute to building relationships, enhancing the organization's ability to provide outstanding service experiences, and ensuring the office is functional and supportive for all staff.
Your duties will include managing Loan Partner schedules, scheduling client appointments, assisting clients with our systems and processes, front-desk reception, conference room oversight, and customer/vendor follow-up. Mortgage Administrative Specialist responsibilities are:
- Greet guests and connect with the appropriate staff member
- Photocopy/scan and upload client documents
- Answer incoming calls and utilize internal systems to provide basic information, resolve client questions, make appointments, and route calls to the appropriate staff member
- Make outbound calls to customers, realtors, and vendors as needed to support sales and operational needs, such as setting/confirming appointments, requesting documentation or follow-up from previous correspondence, and thanking them for their business and/or partnership
- Manage weekly/monthly marketing systems and tools
- Send, collect, sort, and correctly distribute all incoming mail and packages
- Assist with basic office technology setup and troubleshooting, including printers, computers, telephone software, and Microsoft Office applications.
- Update internal management systems with information provided by the Leadership Team, such as Bloom Growth, Gusto, Microsoft Teams, and Catalyst
- Coordinate events, meetings, training sessions, and conferences; prepare agendas, set-up meeting facilities, manage food/beverage needs; assist with technology as needed
- Maintain a neat and comfortable office space by ensuring common areas are clean, straightened, and stocked appropriately, including the kitchen area, waiting area, conference rooms, meeting spaces, and stock rooms; care for office plants
- Manage employee birthday and work anniversary calendar
- Coordinate celebrations (birthday, work anniversary, holiday), office potlucks, and other organization-related activities and events
- Create and submit reports on your activities on a monthly basis
Mortgage Administrative Specialist requirements are:
- Work in person at the Denver office 8:30am to 4:30pm Monday-Friday
- 2+ years' experience in an Administrative Assistant, Sales Support, or Customer Service role
- High School diploma or equivalent
- Excellent phone skills
- Demonstrated experience providing excellent customer service virtually and in person
- Good knowledge of MS Office applications
- Excellent written and verbal communication skills
- Strong team player with high-level organizational skills, friendliness, attention to detail, and accountability
- Critical thinker and self-motivated
