    Job Description

    SALARY RANGE:  $24.13 – 26.73 / hour

    PRIMARY RESPONSIBILITY:

    The Mortgage Administrator is a hybrid administrative sales support and marketing coordination role responsible for providing daily support to the Residential Mortgage Manager (RMM) and residential mortgage sales team (MLOs). The position serves as a central resource for department administration, marketing and event coordination.  The Mortgage Administrator will provide high-level customer service and assist with special projects and departmental initiatives as needed.

     

    ESSENTIAL FUNCTIONS:

    • Administrative and Executive Support:
      • Perform general daily administrative support functions for the RMM and MLOs, including scheduling and organizing activities, conferences, meetings and appointments.
      • Assist in managing the RMM schedule and coordinate meeting logistics, agendas and follow-up items as requested.
      • Type, format and design general correspondence, presentations, reports and other department documents.
      • Process invoices, prepare the RMM monthly expense report, and assist with departmental budget and expense documentation as requested.
      • Order and maintain departmental supplies, promotional items and approved marketing materials.
    • Marketing and Sales Support:
      • Provide day-to-day marketing support to MLOs and coordinate mortgage marketing requests with the Marketing team and approved outside vendors.
      • Assist with the development, coordination and distribution of approved flyers, presentations, email campaigns, newsletters, realtor materials, product announcements and other sales collateral.
      • Maintain current MLO bios, headshots, contact information, websites, approved marketing materials and other sales profile information.
      • Maintain a mortgage marketing and content calendar and coordinate social media content requests, sponsorships, campaigns and product communications.
    • CRM and Referral Management:
      • Partner with the Marketing team to manage the CRM tools, including contact lists, referral sources, campaigns, follow-up activities and other CRM functions.
      • Maintain accurate realtor, builder, attorney, financial advisor and other strategic partner data within applicable systems.
      • Assist with automated customer and referral-partner communication campaigns and help maintain CRM data integrity.
      • Manage existing Marketing Services Agreement (MSA) relationships, including coordinating required supporting documentation and ensuring timely submission of documentation and payment in accordance with approved agreements and Bank procedures
    • Management Reporting and Analytics:
      • Track marketing initiatives, sponsorships, campaigns and events to help management evaluate activity, follow-up, lead generation and return on investment where measurable.
      • Obtain and compile additional information, as needed, to complete reports and sensitive or special management communications.
    • Events and Relationship Management:
      • Assist the RMM and MLOs with trade shows, conferences, realtor events, community events, sponsorships and other special-event planning.
      • Maintain an annual calendar of mortgage events and coordinate registrations, attendees, booth materials, promotional items, travel and event logistics.
      • Track event costs, attendance, leads generated, follow-up activities and results.
      • Assist with mortgage-sponsored educational events, realtor presentations, lunch-and-learns and customer events.
    • Systems and Project Coordination:
      • Assist management with special projects and implementation of new mortgage products, technology, sales initiatives and process improvements.
      • Support recruiting activities as requested, including interview scheduling, candidate materials, onboarding coordination and new-hire communications.
      • Perform other duties as assigned.

     

    EDUCATION AND EXPERIENCE:

    High School diploma or equivalent (Associate's degree strongly preferred) and a minimum of 3 years of prior experience in the residential mortgage industry or a comparable banking, financial services, administrative or marketing support role, or the equivalent combination of education and experience.

    • Prior marketing, CRM and customer relationship management experience strongly desired.
    • Experience with mortgage point-of-sale, loan origination, CRM, reporting or marketing platforms preferred.

    PHYSICAL DEMANDS: 

    While performing the duties of this job, the employee is regularly required to use hands or fingers, handle, or feel and reach with hands and arms.  The employee frequently is required to stand, sit, and talk or hear.    Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus. The employee regularly is required to walk and stoop, kneel, crouch, crawl, and climb stairs. The employee occasionally must be able to stand for up to three hours, walk for up to 15 minutes, and move equipment weighing up to 50 pounds using a cart. The employee must occasionally lift and/or move up to 35 pounds.
