The Mountain Operations Administrative Assistant provides administrative and operational support to the Mountain Operations Department, helping ensure the efficient day-to-day operation of mountain-based teams. This position supports department managers with payroll, reporting, purchasing, vendor coordination, contracts, and communications while serving as a key liaison between Mountain Operations and other Resort departments. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Duties & Responsibilities:  

  • Provide administrative support to Mountain Operations managers and mountain-based departments. 
  • Prepare and process employee payroll using UKG/Kronos and assist with payroll-related questions.
  • Serve as a liaison between Mountain Operations and other Resort departments, including Ski & Ride School, Lodging, Food & Beverage, Recreation, Catering, and Human Resources.
  • Prepare reports, meeting agendas, meeting notes, and other administrative documents for department managers.
  • Maintain employee records, departmental files, and operational documentation.
  • Develop expertise in department software and systems, including UKG, Kronos, Coupa, and other operational platforms.
  • Assist with vendor agreements and contracts, including preparing, tracking, renewing, and maintaining documentation.
  • Coordinate with external agencies and partners, including the U.S. Forest Service, local building departments, utility providers, and other vendors.
  • Process purchase orders, invoices, receipts, and departmental purchases using Coupa and other purchasing systems.
  • Maintain Mountain Operations office supplies, equipment, and employee bulletin boards.
  • Respond to department phone calls, emails, and general inquiries in a professional and timely manner.
  • Operate company vehicles as needed to transport supplies, equipment, or personnel while following company policies and safe driving practices.
  • Attend meetings, participate on committees, and represent the Mountain Operations Department as assigned.
  • Perform additional duties as assigned.

Qualifications:

  • Current U.S. Driver's License required. 
  • High school diploma or equivalent preferred.
  • Previous administrative, office management, or related experience preferred.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and the ability to learn department-specific software, including UKG, Kronos, and Coupa.
  • Strong organizational, time management, and multitasking skills with excellent attention to detail.
  • Excellent verbal and written communication skills and the ability to build positive working relationships across departments.
  • Ability to work independently, prioritize competing responsibilities, and complete projects with minimal supervision.
  • Professional judgment and discretion when handling confidential information.
  • Intermediate skiing or snowboarding ability is beneficial but not required.
  • Flexible availability, including days, evenings, weekends, and holidays as business needs require.
  • Engage in physical activities like standing for long periods, walking, and utilizing hands for tasks that involve gripping, handling, and reaching.
  • Ability to safely lift and/or move up to 25 pounds.
