MULTI-PROGRAM ADMIN SUPPORT

  • Be able to obtain a Certifying Official status for the Authority and be initial point of contact responsible for certification of 102+ participants in all volunteer programs.
    • New Volunteers SIDA Badge issuance - including managing volunteers through navigating airport and airport campus (i.e.: parking), fingerprints, then earning actual badge.
    • Badge renewals
  • Manages incoming telephone calls for tours, disability tours, volunteer requests, requests to partner with Community programs from other organizations, requests to exhibit, and all general customer experience solicitations.
    • Currently receive approximately 100 calls per week
  • Assists with multiple contracts, schedules, and agreements for the JAA's visual arts and performing arts programs, and lending library.
  • Assists with recordkeeping for solicitation, purchase, installation, and maintenance of permanent art purchases.
  • Assists with the administration of insurance documentation for approx. 300 works of fine art lent to the organization annually.
    • Provide all record keeping and cataloguing of exhibit inventory
    • Support Risk Management Manager by maintaining airport rotating and permanent arts insurance documentation
    • Help to manage both short-term and long-term public art and cultural heritage installations ensuring they are appropriately displayed and maintained.
  • Assist with the recruitment, onboarding, training, and scheduling of volunteers for JAA's four Airport Volunteer programs, including creation of brochures, handouts, information, and application packets, etc.
  • Process admin portion of onboarding of new volunteers and dismissal of those excused from service.
  • Serve as the initial point of contact for existing volunteers; answering questions, ensuring shifts are covered, and addressing concerns in a timely manner.
  • Assists with oversight of all voluntary programs for the Authority's airport system, which currently includes approximately 102+ volunteers (Airport Ambassador Program, JAX Paws Therapy Dog Program, Military Lounge, and Musicians
  • Recordkeeping of schedules, volunteer hours worked, program files, inventories, uniform ordering, and dispersal
  • Assist in weekly inventory checks and procurement of Military Lounge guest supplies
  • Assists with the weekly distribution of the meal voucher program for volunteers
  • Coordinate and record minutes of JAX's quarterly, individual volunteer program staff meetings.
  • Cleans, straightens all 12 display area surfaces, glass, marketing racks and restocks Arts/Culture/Community/Volunteer programs' Marketing materials
  • Assists with ensuring in-kind advertisers' digital assets are displayed in terminal and on time per contracted schedule.
  • Assists with the production of collateral communication pieces that support JAA's arts and cultural program marketing efforts such as advertisements, corporate correspondence, rack cards, and audiovisual communications.
  • Assist in Developing and executing monthly All-Volunteer Newsletter to ensure seamless communication of air service advancements, parking changes, construction updates, and other important education required for volunteers to provide their best and most accurate service to customers within the airport environment.
  • Updates training guides for volunteer programs and ensure volunteers have necessary materials and support to perform their roles effectively.
  • Manage all clerical aspects of rotating hundreds of borrowed fine artworks through 12 exhibit spaces inside JAX campus
    • Price tags

    • All required exhibit signage – headers, biographies, price lists
  • Update Arts & Culture Program website on quarterly basis to reflect current airport experience, i.e. musicians, arts exhibits, community exhibits, volunteer programs, tours, etc.
  • Assist in the physical receiving from artists the 300+/- works of art either needing to be picked up or delivered to airport annually.
  • Assist with the installation and deinstallation of all 2D and 3D fine art & program designed signage required to fill 10 exhibit cases and 2 full art galleries.
