Now hiring Multi-State Payroll Specialist

Location Santa Ana, CA

Pay Rate: $35.00 - $42.00 per hour

Shift: 16 hours/week (2 days a week)

These are the qualifications that matter.

  • Proven experience processing multi-state payroll in a complex environment
  • Strong knowledge of payroll tax compliance, including federal, state, and local regulations
  • Experience with prevailing wage, Service Contract Act (SCA), and public works payroll
  • Familiarity with California DIR requirements and certified payroll reporting
  • Experience with QuickBooks and Paychex Flex required
  • Strong understanding of payroll accounting, including general ledger, reconciliations, and tax filings
  • Knowledge of ERISA, IRS, and Department of Labor regulations
  • High level of accuracy, attention to detail, and confidentiality
  • Strong communication and cross-functional collaboration skills
  • Ability to work independently and manage multiple priorities in a deadline-driven environment

Responsibilities

  • Process weekly and bi-weekly multi-state payroll for exempt and non-exempt employees
  • Ensure compliance with federal, state, and local wage and hour laws, including overtime and break requirements
  • Prepare and submit certified payroll reports in accordance with prevailing wage requirements and California DIR regulations
  • Manage payroll adjustments, including garnishments, deductions, and benefit changes
  • Perform payroll accounting functions, including general ledger postings, reconciliations, and journal entries
  • Prepare and support quarterly and annual tax filings (e.g., Forms 940, 941, W-2)
  • Partner with HR, Operations, and Production teams to validate timecards and payroll data
  • Serve as a liaison between departments to ensure accurate and compliant payroll processing
  • Respond to payroll inquiries with professionalism and maintain strict confidentiality
  • Support internal and external audits and prepare required reports
  • Assist with payroll system improvements and ongoing process enhancements
