National Council for Mental Wellbeing Development Coordinator

Position Summary

The Development Coordinator plays a foundational role on the National Council’s growing Philanthropy team, providing the data, project management, and programmatic support that powers donor engagement and fundraising efforts across the organization. This is the first coordinator-level hire supporting the two-person Philanthropy function, so in the near term the role will be focused primarily on donor data and systems with real opportunity to grow into more individualized, externally-facing stewardship work as the donor database and program mature.

The ideal candidate is a detail-oriented self-starter who is comfortable learning and adapting to new systems and platforms, translating data into insights, and managing several recurring projects at once. We’re looking for someone who anticipates needs and proposes solutions rather than waiting for explicit direction, and who is excited to grow within a fast-building development function. Given this role’s close proximity to senior leadership, comfort preparing clear, polished communications for executive-level audiences is important from day one.

Key Responsibilities

Data Management & Insights (60%)

• Maintain accurate donor and constituent records within the organization’s CRM and other fundraising or engagement platforms, including spreadsheet-based systems.

• Ensure data integrity through routine audits, record maintenance, and quality control processes.

• Generate reports, dashboards, and donor insights that support stewardship, fundraising, and organizational decision-making, including real-time dashboards for staff involved in strategic decisions.

• Support gift processing, donor segmentation, and constituent record management.

• Partner with colleagues to improve data collection practices and streamline workflows as systems evolve.

Project management (25%)

• Serve as project manager for the Philanthropy team’s core recurring donor engagement deliverables — a quarterly investor report, a quarterly webinar, and a CEO snapshot series — tracking timelines and ensuring materials are complete, accurate, and well-designed.

• Support execution of other stewardship team programmatic engagement and report-out activities as they are developed.

• As the donor database and stewardship program mature, take on more individualized, externally-facing donor stewardship work, to the extent of interest.

• Longer term, support planning for an anticipated philanthropy convening event.

Departmental support on frontline fundraising (15%)

• Support the Senior Major Gifts Officer and broader frontline fundraising team with research and preparation for donor meetings and cultivation (e.g., donor packets, pool reports, briefing materials).

• Partner with the Philanthropy team on ad hoc research requests in support of major gift cultivation.

• This role does not include administrative/executive-assistant functions, such as travel scheduling for frontline fundraisers.

Required Qualifications

• Bachelor's degree or equivalent professional experience.

• 2–4 years of professional experience in fundraising, donor relations, communications, nonprofit administration, database management, or a related field.

• Demonstrated experience contributing to mission-driven work.

• Excellent written and verbal communication skills, including comfort preparing executive and senior leadership level communications.

• Experience maintaining constituent, donor, customer, or organizational databases with a high degree of accuracy.

• Demonstrated ability to learn and adapt across different systems and technology platforms; proficiency with a specific CRM matters less than the ability to understand a new system quickly and thoroughly.

• Strong organizational and project management skills with exceptional attention to detail.

• A self-starter mindset: comfortable working independently, anticipating needs, and proactively defining how a task should be approached rather than waiting for explicit direction.

Preferred Qualifications

• Experience with Airtable, Excel, or similar spreadsheet-based data management tools.

• Experience creating reports, dashboards, workflows, and automations within database platforms.

• Familiarity with data governance, reporting best practices, and donor segmentation strategies.

• Experience using AI tools such as ChatGPT, Microsoft Copilot, Gemini, or similar technologies to support communications, research, reporting, and operational efficiency.

• A creative eye and interest in helping design engaging donor-facing materials, such as webinars and stewardship events.

Location & Travel

This is a remote, national position. Core hours generally follow the Eastern time zone from 9am to 5pm, with some flexibility as long as they can attend key team meetings. Travel is expected once or twice a year for the full team event or a Development team retreat, typically in Washington, D.C.

Salary & Benefits

The salary range for this position is $70,000-$75,000. Salary decisions within the range are based on experience, education, and internal equity.

Departmental Summary

The Development team sits within the National Council’s Business & Strategy division and is responsible for building and executing a comprehensive development strategy across major gifts, institutional giving, corporate partnerships, and donor stewardship. This is a newly built-out function within the organization: the team recently added a Senior Major Gifts Officer to lead frontline fundraising, and the Philanthropy team — currently a team of two — is building out both a donor stewardship program and enablement support for major gifts work. The Development Coordinator will be the first dedicated support hire for this growing Philanthropy team.
