  • Maintain a consistently professional, attentive level of service throughout the overnight shift.
  • Anticipate guest needs and respond proactively despite limited overnight staffing.

Night Audit & Financial Reconciliation

  • Complete the nightly audit and end-of-day process in accordance with hotel procedures.
  • Review and reconcile room charges, payments, adjustments, and postings for accuracy.
  • Verify room rates and applicable taxes for all guest accounts.
  • Reconcile cash and credit card transactions against system totals.
  • Identify discrepancies and correct them when appropriate, documenting any items that require follow-up.
  • Review guest folios to confirm charges, postings, and rates are accurate before close.
  • Balance applicable hotel accounts and reports as part of the audit process.
  • Run the property management system's end-of-day/night audit process.
  • Prepare, review, and distribute required nightly reports to management.
  • Ensure the hotel system successfully transitions to the new business date.
  • Report unresolved financial discrepancies to management promptly and accurately.

Reservations & Property Management System

  • Create, modify, and cancel reservations accurately using the hotel's property management system (PMS).
  • Process walk-in guests and monitor room availability and inventory.
  • Post charges and maintain accurate, up-to-date guest accounts within the PMS.
  • Confirm reservation details and rates align with hotel records prior to audit close.

Overnight Operations & Interdepartmental Coordination

  • Coordinate with Housekeeping, Engineering/Maintenance, Security, and other departments as needed overnight.
  • Review shift pass-down information and maintain accurate communication logs.
  • Document incidents, guest requests, and notable overnight activity for the incoming team.
  • Monitor overnight operational issues and take appropriate action or escalate as needed.
  • Prepare clear, accurate information for the incoming morning team to ensure a smooth transition.

Safety, Security & Emergency Response

  • Serve as one of the primary hotel representatives on property overnight.
  • Follow hotel security protocols, including guest verification and key control.
  • Monitor the lobby and hotel premises for suspicious activity and report concerns immediately.

  • Contact management or emergency services in accordance with hotel procedures when necessary.

Administrative Duties
