The Night Auditor is responsible for managing the hotel's front desk operations during the overnight shift (typically 11:00 PM to 7:00 AM). This role ensures the accuracy of daily financial transactions, prepares the hotel for the next day's business, and provides exceptional guest service, security, and emergency response.
Key Responsibilities
1. Financial Auditing & Reporting
- Complete the Night Audit Process: Reconcile all daily departmental revenue and expense transactions (Rooms, Food & Beverage, etc.) against corresponding supporting documentation.
- System Closure: Run the Property Management System (PMS) end-of-day sequence to close out the business day, generating and distributing daily reports for management.
- Balance Accounts: Verify and balance all credit card, cash, and ledger accounts. Investigate and resolve discrepancies.
2. Front Office Operations
- Guest Service: Provide prompt and courteous service to all guests, handling late-night check-ins, check-outs, and early morning reservations.
- Handling Requests: Address all guest inquiries, requests, and minor complaints, ensuring resolution or proper hand-off to the morning shift.
- Reservations: Process and confirm late-night and future reservations as needed.
- Cash Handling: Manage a bank, accurately processing guest payments and drops, and ensuring the bank is balanced at the end of the shift.
3. Security and Safety
- Hotel Security: Perform regular property walks and security checks to ensure the safety and security of guests and hotel assets.
- Emergency Response: Act as the primary contact for all hotel emergencies (fire, medical, security incidents) and implement established procedures, including contacting emergency services and management.
- Key Control: Monitor and manage the issuance of guest and master keys.
4. Pre-Shift and Administrative Tasks
- Prepare for Arrival: Run arrival lists, prepare key packets, and review all incoming reservations for the next day.
- Wake-up Calls: Accurately set and deliver guest wake-up calls.
- Lobby Maintenance: Perform light cleaning, organizing, and restocking duties at the front desk area as time permits.
- Shift Handover: Communicate a detailed and comprehensive report of the overnight activities, incidents, and pending issues to the morning shift.
