MAIN FUNCTION:
Responsible for the daily coordination of staffing the nursing units within Arnot Ogden Medical Center. Reports to the Director of Support Services/Project Management.
DUTIES AND RESPONSIBILITIES:
- Works closely with Nursing Supervisor and Central Staffing Coordinator to coordinate nursing schedules on a day to day basis.
- In collaboration with Nursing Directors and Clinical Supervisors, oversees future staffing needs appropriate to patient care and according to staffing plan.
- Creates RN and CA sign-up sheets for all med-surg/telemetry nursing units and communicates to Unit Directors/Clinical Coordinators.
- Updates and maintains RN and CA sign-up sheets continuously and relays such information to Unit Directors/Clinical Coordinators.
- Coordinates sitter coverage.
- Updates master schedule in Kronos and prints out all med-surg/telemetry units' schedules to place in master schedule book.
- Prepares hand off report of current staffing information to evening Clinical Supervisor.
- Maintains complete and current listing of staff's contact information, as reported by the Unit Directors. Sends monthly reminders to Unit Directors for current information and places on Nursing Service shared drive.
- Actively trains staff how to use Kronos:
- submit requests for time-off
- Actively assists staff at timeclock to:
- float time appropriately toother units
- sitter and education functions
- Enters Davita charges in Quadramed and reports discrepancies to Davita Liason.
- Answers telephone, receives and delivers messages.
- Types minutes, reports, etc. as assigned by nursing administration.
- Records pertinent incoming calls; i.e., staff illness and absence, hospital problems of importance, in the Nursing Office Communication Book and reports these to Clinical Supervisors and Central Staffing Coordinator.
- Assists Nursing Directors with compiling and completion of reports and statistics as assigned.
- Assists Director of Support Services/Project Management with Operations Advisor/Production.
- Acts as liaison between patients and their families, employees, Nursing Services, and leadership staff.
- Demonstrates the philosophy, Mission and Vision of Arnot Health. Practices the principles of quality improvement by incorporating CQI principles into daily activities, focusing on improvements and premier customer services.
- Maintains confidentiality of all Arnot Health information.
- Attends all annual mandatory educational programs as required by position.

EDUCATION:
High School diploma or equivalent experience required; associates or bachelor's degree in Secretarial Science, or one year diploma course preferred. Medical terminology preferred. Basic accounting skills preferred. Ability to maintain good interpersonal relationships among internal and external customers required.
EXPERIENCE:
Minimum of three years in a clerical position, preferably in a healthcare environment. Scheduling experience preferred. Knowledge of patient and staffing flow is helpful. Prior proven experience in secretarial skills, i.e. computer and word processor. Proficiency in computer programs such as Excel, Word, Outlook and Kronos.
CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:
No CPR required.
PHYSICAL DEMANDS:
Light physical effort.Routine office jobs.
EXPOSURE CATEGORY:
Category III. Tasks that involve no exposure to blood, body fluids or tissues. Category I tasks are not a condition of employment.
