SUMMARY

The Ocean Export Specialist is responsible for managing the end-to-end coordination of international ocean export shipments. This role ensures all shipments are executed efficiently, cost-effectively, and in compliance with company procedures and global trade regulations. The position serves as a key point of contact for customers, carriers, and overseas partners, delivering high-quality service and proactive communication throughout the shipment lifecycle.

ESSENTIAL FUNCTIONS:

  • Coordinate and execute all ocean export shipments from booking through final delivery

  • Prepare and manage export documentation to ensure compliance with international regulations

  • Arrange cargo collection and inland transportation; monitor shipment progress

  • Maintain effective communication with customers, overseas agents, carriers, and vendors

  • Provide shipment updates, pre-alerts, and resolve issues proactively

  • Manage and update carrier rates; obtain spot quotes as needed

  • Track shipments and ensure timely milestone updates in internal systems

  • Process billing, verify payable charges, and support accurate invoicing

  • Audit shipment files to ensure completeness and compliance

  • Maintain organized customer and shipment records

  • Enter and maintain shipment data within Cargowise (C1) system

  • Collaborate with internal teams to support overall branch and operational goals

     

QUALIFICATIONS:

  • 3+ years ‘experience handling ocean export shipments

  • Strong knowledge of export documentation, processes, and compliance requirements

  • Proven ability to coordinate shipments from origin through final delivery

  • Excellent written and verbal communication skills

  • Strong organizational skills with high attention to detail

  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment

  • Proactive problem-solving skills with a customer-focused approach

  • Ability to work effectively both independently and as part of a team

EDUCATION AND EXPERIENCE:

  • High School Diploma or GED required

  • Associate’s or Bachelor’s degree in Logistics, Supply Chain, Business, or a related field preferred

  • Experience within the freight forwarding industry strongly preferred

  • Familiarity with CargoWise (C1) software is preferred

  • Geographic knowledge and understanding of global trade lanes are a plus

  • Additional language skills are a plus

ENVIRONMENT: 

100% performed in climate-controlled internal office environment working under normal office conditions.
