Position Summary

The Office Administrator is responsible for managing daily office operations,  

Key Responsibilities

Administrative Support

  • Manage daily office operations and maintain organized records
  • Assist in preparing estimates, service agreements, submittals, plans, and operation manuals
  • Work closely to support New Construction, Service, and Install teams

Scheduling & Dispatch


  • Handle emergency scheduling when needed

Customer Service

  • Greet in-person office visits

Inventory & Coordination

  • Assist with tracking parts, equipment, and office supplies
  • Coordinate with vendors and suppliers
  • Support technicians with job-related documentation

Culture

  • Coordinate internal and external events such as lunches, training, trade shows, and recruiting events
  • Advocate for and support a best-in-class company culture with local coworkers and coworkers in other locations

Qualifications

Required

  • High school diploma or equivalent
  • 2+ years of administrative or office experience
  • Strong communication and organizational skills
  • Ability to multitask in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Preferred

  • Familiarity with AI tools such as ChatGPT and Claude
  • Experience in HVAC, construction, or service industry
  • Familiarity with dispatching or CRM software (ServiceTitan)
  • Basic knowledge of HVAC terminology and services

 Salary/Compensation

  • $20-$30 Hourly DOE
  • Hours Monday-Friday 8 AM-4:30 PM
