The Office Administrative Assistant provides day-to-day administrative and clerical support to ensure efficient office operations. This role is responsible for handling communications, maintaining records, coordinating office activities, and supporting staff and management with organizational tasks. The ideal candidate is detail-oriented, dependable, and able to multitask in a fast-paced environment.

 

 

Administrative Support

  • Answer and direct phone calls, emails, and other communications in a professional manner
  • Greet visitors, clients, and vendors, providing excellent customer service
  • Schedule appointments, meetings, and maintain calendars for staff or management
  • Prepare, draft, and format correspondence, reports, and documents

Office Operations

  • Maintain filing systems (physical and electronic) to ensure organized recordkeeping
  • Order and manage office supplies, equipment, and inventory
  • Assist with mail distribution, shipping, and receiving tasks
  • Support general office organization, cleanliness, and efficiency

Data Entry and Records Management

  • Enter, update, and maintain accurate data in company systems and databases
  • Assist with basic bookkeeping tasks such as invoice tracking, expense reporting, or purchase orders (if applicable)
  • Maintain confidential employee, client, and company records

Coordination and Support

  • Assist with onboarding paperwork, timesheets, and HR-related documentation
  • Coordinate meetings, events, or travel arrangements as needed
  • Provide administrative support to multiple departments as assigned
  • Perform other clerical duties as required to support business needs

Qualifications

  • High school diploma or equivalent required; additional administrative training preferred
  • Previous office or administrative experience preferred
  • Proficiency in Microsoft Office (Word, Excel, Outlook) or similar software
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to handle sensitive information with discretion
