Job Title- Office Administrator / Front Desk Coordinator

Contract: 3 months w/ possibility for extension

Location- Binghamton, NY 13903 | Onsite

Schedule- Monday–Friday, 8:00 AM–5:00 PM

Compensation - $18/hour
 

Role Impact

Serves as the primary front office contact, ensuring smooth daily operations through visitor reception, phone management, and administrative support. This role supports office leadership with clerical, financial processing, and logistics tasks while maintaining a professional and organized office environment.

Key Responsibilities

• Greeting visitors and directing clients to appropriate staff or departments
• Managing incoming calls, messages, and general inquiries
• Maintaining office security protocols and visitor procedures
• Preparing production time sheets and general administrative documentation
• Processing purchase orders, vendor invoices, and basic payment tracking
• Maintaining office supply inventory and ordering replenishment items
• Supporting calendar coordination, meetings, and general office logistics
• Organizing filing systems and maintaining accurate records

Minimum Qualifications

• High school diploma required
• Prior experience in an administrative, clerical, or office support role
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel)
• Strong communication skills (verbal and written)
• Ability to manage multiple tasks in a fast-paced environment

Core Tools & Systems

• Microsoft Excel

• Office phone systems (multi-line)
• Basic invoicing / purchase order systems
• File management systems (digital and physical)

Preferred Skills

• Experience with vendor coordination or invoice processing
• Familiarity with production or manufacturing office environments
