Boerboel is looking for an organized, personable, and proactive Office Administrator to keep our NYC office running smoothly. This part-time role is the go-to person for everything office-related, from a stocked pantry and a tidy common area to being the primary point of contact for building management, vendors, and guests. Position Details & Schedule
Part-time, non-exempt (hourly), approximately 25 hours per week
Typical hours will be 9:00 AM - 2:00 PM, 5 days per week (exact days/hours flexible and to be confirmed with the hiring manager)
On-site at our office in SoHo, NYC
Key Responsibilities
Stock and maintain the pantry, keeping an eye on inventory and restocking before items run out
Order office and pantry supplies, and groceries
Order and coordinate breakfast/lunch for the office
Keep the office, kitchen, and common areas clean, organized, and presentable throughout the day
Maintain shared spaces such as conference rooms, resetting them between meetings
Monitor and restock first aid and general office safety supplies
Greet guests, clients, and visitors, and ensure a professional and welcoming first impression
Serve as the primary point of contact for building management on maintenance, access, and facility issues
Coordinate with building-related vendors (cleaning, maintenance, security, deliveries) and schedule service visits
Manage keys, access cards, and visitor sign-in procedures
Sort, distribute, and coordinate incoming/outgoing mail and packages, including courier pickups (FedEx, UPS, USPS, etc.)
Maintain vendor and service contact lists, contracts, invoices, and receipts related to office expenses
Troubleshoot basic office equipment issues and coordinate repairs when needed
Provide light administrative support - scheduling, data entry, filing, and other duties as assigned
Qualifications
Prior experience in office administration, front desk, hospitality, or a similar coordination role is preferred but not required
Strong organizational skills and close attention to detail
Clear, professional communication skills and a friendly, service-oriented approach with guests and vendors
Comfortable managing multiple priorities and vendors in a fast-paced, small-office environment
Proficient with common office software (e.g., Microsoft Office, Google Workspace) and able to learn new tools such as supply-ordering or building-management platforms
Reliable, punctual, and able to work independently with minimal supervision
Physical Requirements
Ability to lift and carry up to approximately 25-30 lbs (e.g., grocery and supply deliveries)
Ability to stand, walk, bend, and move around the office and building for extended periods during the shift
This position will be based in New York. In compliance with applicable U.S. pay transparency laws, the anticipated range for this role is $25-$30 hourly, commensurate with experience. Complimentary breakfast/lunch on days meals are ordered for the office. Paid public holidays. NYC Paid Safe and Sick Leave, accrued in accordance with NYC law.
