Join our team in an office support role where no two days are the same! IF you are someone who thrives on staying organized and keeping operations running smoothly this is the perfect role for you You’ll take ownership of essential daily tasks—including managing incoming and outgoing mail, maintaining office supply inventories, stocking beverage stations, filing important documents, and coordinating company visits and tours. With a variety of responsibilities and opportunities to jump in wherever needed, this role is perfect for someone who enjoys being the go-to person and making a meaningful impact.

Schedule:

  • 8:00am – 4:30pm, Monday - Friday

What will I do in this role?

  1. Maintain office supplies throughout the office which includes ordering, replenishing and housekeeping of storage areas. This includes the inventory of printer cartridges and all coffee supplies.
  2. Perform all functions with incoming and outgoing mail. This includes opening and distributing the morning mail and incoming packages as well as preparing the afternoon outgoing mail.
  3. Maintain the appearance of the mail room, copy rooms, and supply cabinets.
  4. File paid Accounts Payable invoices weekly and maintain files, including boxing of the files at year-end and creating new files for upcoming year.
  5. Coordinate incoming tours/visits, including the meetings and lunch orders.
  6. Assist with miscellaneous duties within the Accounting Department.
  7. Assist with data entry of Accounts Payable invoices as needed.
  8. May do miscellaneous pickup and deliveries outside of the office, including maintenance on the fleet vehicles.
  9. Back up incoming calls from the reception area as needed.
  10. Produce and distribute fiscal month-end reports.
  11. May act as back up to making travel arrangements for employees.
  12. Responsible to follow all safety procedures as required by the role, and to nurture a food safety culture by adhering to all Safe Quality Foods requirements.
  13. May perform other duties as assigned by manager.

Minimum Qualifications:

  • Ability to effectively utilize (writing, speaking, reading) the English language.
  • Must be able to communicate providing verbal and written feedback in a professional and understanding manner.
  • Ability to operate a computer and a variety of standard office equipment.
  • Ability to operate a multi-line phone system.
  • Ability to type accurately and proficiently.
  • Ability to meet deadlines.
  • Ability to add, subtract, multiply and divide whole numbers, decimals and fractions.
  • Regular attendance is required, may be required to work some overtime.
  • Ability to read, comprehend and follow simple written and oral instructions.
  • Must have excellent interpersonal skills.
  • Requires nearly constant concentration and attention to detail.
  • Any combination equivalent to graduation from high school.
  • Ability to walk and hear for 90% of work time.
  • Standing and walking required for up to 25% of work time.
  • Ability to lift up to 25 pounds or less 20% of work time. May lift up to 40 pounds.
  • Ability to: see clearly at 20 inches or less; ability to identify and distinguish colors; ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point and the ability to adjust the eye to bring an object into sharp focus.
