The Insurance Office Assistant plays a key role in keeping daily operations organized, efficient, and client-focused. Position Summary The Insurance Office Assistant will handle administrative duties, customer communication, scheduling, data entry, document management, light housekeeping, and internal team support in a fast-paced office environment. The ideal candidate is professional, proactive, organized, and comfortable working with phones, computers, and multiple software systems. This role is ideal for someone who enjoys staying organized and supporting a team. Key Responsibilities Greet clients and provide professional, friendly customer service in person and over the phone. Answer incoming phone calls, respond to emails and text messages, and direct inquiries to appropriate team members. Schedule appointments and manage calendars for agents, including meetings and follow-ups. Assist with processing insurance applications, renewals, and policy updates under the direction of licensed staff. Perform data entry and maintain accurate client records and filing systems (digital and paper), including CRM updates. Organize and maintain digital files, documents, and office workflows. Prepare documents, correspondence, basic reports, and spreadsheets as requested. Process incoming and outgoing mail and electronic communications; collect and record payments, issue receipts, and assist with basic billing inquiries. Assist with customer follow-up, reminders, and routine status updates. Support management with administrative tasks and assist with onboarding paperwork and internal processes. Perform light housekeeping duties, including keeping office spaces, the bathroom, and kitchenette clean, tidy, and stocked (e.g., wiping surfaces, emptying small trash bins, restocking supplies). Perform other office and administrative duties as assigned to support smooth daily operations. Qualifications High school diploma or equivalent.
