We are hiring an Office Assistant in our NYC office.
About the Role:
The Office Assistant plays a key role in supporting the day to day operations of Applecart's New York City office.
This role is ideal for someone who enjoys creating exceptional workplace experiences, thrives in a fast paced environment, and takes pride in keeping an office running smoothly. This is a highly collaborative, hands on role that requires strong organizational skills, attention to detail, and a proactive mindset.
As a member of the Office Management team, you will collaborate with employees across the organization, internal teams, building management, and external vendors to support day to day office operations and help deliver an exceptional workplace experience.
This position partners closely with the Office Manager to maintain organized, well stocked office spaces, support onboarding logistics, coordinate vendors, and ensure our offices are prepared to support employees each day.
This role reports to the Office Manager.
What You’ll Do
- Partner closely with the Office Manager to execute operational priorities and support changing business needs.
- Support the day to day operations of multiple office floors.
- Conduct routine walkthroughs of office spaces to identify and proactively address operational, cleanliness, inventory, maintenance, and workplace experience needs.
- Receive, unpack, organize, and distribute office deliveries.
- Restock kitchens, pantries, conference rooms, and restrooms to maintain a clean, organized, and well stocked workplace.
- Monitor inventory levels and communicate replenishment needs.
- Support conference room readiness and maintain common areas throughout the day.
- Coordinate with vendors and building management for deliveries, maintenance, repairs, and scheduled visits.
- Assist with new hire onboarding and onboarding logistics, including workspace preparation and welcome materials.
- Provide reception desk coverage as needed.
- Respond to Office Management requests through Zendesk and Slack while ensuring timely follow up and resolution.
- Support administrative projects and other operational priorities as assigned.
- Support office events, meetings, and employee experience initiatives as needed.
- Perform other duties as assigned.
Experiences and Capabilities You Bring:
- 3+ years of experience in office operations, office administration, workplace experience, hospitality, facilities, or a related role.
- Experience supporting a fast paced, high growth, or professional office environment.
- Strong written and verbal communication skills.
- Exceptional organizational skills with strong attention to detail.
- Ability to assess competing priorities, exercise sound judgment, and effectively prioritize work in a fast paced environment.
- Demonstrates initiative, accountability, and a strong sense of ownership.
- Ability to work independently with minimal direction while collaborating effectively with cross functional teams.
- Ability to adapt to changing priorities and business needs.
- Maintains a positive, solutions oriented attitude and responds to changing priorities with flexibility, professionalism, and a willingness to support evolving business needs.
- Proactively identifies operational needs and opportunities for improvement while maintaining a high quality workplace experience, and communicates recommendations to the Office Manager as appropriate.

- Ability to anticipate operational needs and take proactive action to support day to day office operations.

- Strong customer service and interpersonal skills with the ability to build positive working relationships.
- Maintains a high level of professionalism, discretion, and confidentiality when handling sensitive information.
- Proficiency with Google Workspace and Slack; experience with Zendesk, Brivo, LastPass, Brex, Canva, or similar workplace technology is a plus.
This is not a hybrid role. Work from Applecart’s New York City office Monday through Friday 10:00AM - 6:00PM.
Compensation:
Our compensation package consists of three components: (i) a base salary, (ii) annual cash bonus, and (iii) generous equity compensation.
The base salary range for this role is between $68,000 to $80,000,based on the candidate's experience and skills relative to the requirements listed above. The salary range provided is exclusive of discretionary annual cash bonus and equity compensation. The salary range provided for this role is specific to candidates located in the New York City area.
