The Office Associate provides administrative and operational support to ensure the efficient day-to-day functioning of the office. This role requires strong organizational skills, attention to detail, excellent customer service, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Manage daily office operations, including handling mail, emails, phone calls, and file management.
Greet visitors and answer incoming phone calls in a professional and courteous manner.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain organized filing systems, both electronic and paper.
Schedule appointments, meetings, and conference rooms.
Prepare correspondence, reports, and other office documents.
Order and maintain office supplies and inventory.
Assist with data entry, recordkeeping, and document management.
Support accounts payable/receivable and basic bookkeeping tasks, as needed.
Coordinate office equipment maintenance and service requests.
Provide administrative support to management and other departments.
Maintain confidentiality of sensitive company information.
Perform other administrative duties as assigned.
Qualifications
Associate's degree; Bachelors Degree Preferred
Minimum of 2 years’ administrative experience required;
Experience in property management, real estate, or related field preferred.
Strong Customer Service, conflict resolution, and communication skills.
Proficiency in Microsoft Office including Microsoft Teams
Organized, Detail-oriented, and able to manage multiple tasks simultaneously
Knowledge of housing regulations and fair housing laws preferred.
Valid driver’s license and reliable transportation required.
Must be able to walk community and move (lift and/or twist) a minimum of 20 lbs.
