      Description

      Williamsport Lumberyards is seeking a dependable, organized, and proactive Office & Business Coordinator to oversee daily administrative and business operations. This role is responsible for managing office functions, supporting accounting and payroll activities, coordinating customer service and vendor communications, and helping ensure smooth operations across the lumberyard and office teams.

      The ideal candidate is detail-oriented, professional, and comfortable working in a fast-paced environment with multiple priorities.

      The Office & Business Coordinator works directly with the General Manager and ESM Finance Director and HR Director. Responsible for assisting the management team to provide excellent communication and support to employees and guests. The Office & Business Coordinator reports indirectly to the specific manager in which the current task directly involves (i.e.: Leagues, Sports, Programs, Events Director & Coordinators, Food & Beverage Director, Camps - Camp Coordinators, HR/Finance - HR & Finance Director(s), etc.)

      Essential Duties and Responsibilities

      Finance & Accounting Support
      • Process accounts payable and accounts receivable
      • Assist with invoicing, billing, and payment tracking
      • Prepare bank deposits and maintain financial records
      • Support payroll processing and employee timekeeping
      • Work with ownership/accountants to maintain accurate bookkeeping and reporting
      Operations Support
      • Track inventory paperwork, purchase orders, and delivery documentation
      • Help maintain compliance with company policies and safety procedures
      • Assist with hiring paperwork, onboarding, and employee records
      Customer & Vendor Relations
      • Provide excellent customer service to contractors, vendors, and walk-in customers and guests.
      • Resolve routine customer concerns in a professional and timely manner
      • Build positive working relationships with suppliers and service providers
      Requirements

      To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

      Education and/or Experience: Bachelor's degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

      Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

      Mathematical Skills: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.

      Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

      Computer Skills: To perform this job successfully, an individual must have working knowledge of Google Docs along with Microsoft Office (Word, Excel, Power Point, etc.).

      Qualifications
      • Previous office management, business management, bookkeeping, or administrative experience preferred
      • Strong organizational and multitasking skills
      • Proficiency with Microsoft Office and accounting/business software
      • Excellent communication and customer service abilities
      • Ability to work independently and maintain confidentiality
      • Experience in construction, lumber, building materials, or industrial environments is a plus
      Preferred Skills
      • Knowledge of payroll and bookkeeping practices
      • Experience with QuickBooks or similar accounting systems
      • Strong attention to detail and problem-solving abilities
      • Ability to manage deadlines and prioritize tasks effectively
