Job Summary

Window World's Office Coordinators work with current and prospective customers while supporting multiple areas of our operation. Depending on business needs, responsibilities may include customer service, installation scheduling, service coordination, lead management, appointment scheduling, and general office support.

Successful candidates are organized, detail-oriented, professional, and committed to providing exceptional customer service.

Responsibilities

  •  Answer inbound and outbound customer calls with professionalism and enthusiasm. 
  •  Provide outstanding customer service while resolving customer questions and concerns. 
  •  Schedule and coordinate customer appointments, installations, and service visits. 
  •  Communicate with customers regarding scheduling, project updates, and follow-up. 
  •  Work closely with sales representatives, installers, technicians, and office staff to ensure projects move smoothly. 
  •  Maintain accurate customer records within our CRM system. 
  •  Process paperwork, work orders, and other administrative tasks accurately. 
  •  Assist with scheduling and coordinating installation crews when assigned. 
  •  Prepare work orders and documentation for service technicians and installers. 
  •  Monitor customer projects and proactively communicate updates. 
  •  Help identify and resolve issues before they become customer concerns. 
  •  Perform other office and administrative duties as assigned. 
Qualifications

  •  Excellent customer service and communication skills 
  •  Strong organizational and multitasking abilities 
  •  Detail-oriented with excellent follow-through 
  •  Comfortable learning new computer systems and CRM software 
  •  Positive attitude and ability to work well with a team 
  •  Professional phone etiquette
