We are seeking an experienced Office Coordinator - Dispatcher for our dynamic construction company. This is a unique opportunity to play a pivotal role in the smooth operation of our business. As a Office Coordinator - Dispatcher, you will be responsible for organizing schedules, coordinating team logistics, and maintaining communication with various stakeholders. Your role will also involve managing fire alarms, fire protection, and service trade software. This position requires a highly organized individual with excellent communication skills and a keen eye for detail.
Responsibilities:
1. Coordinate and dispatch service calls to field technicians and ensure they have all necessary information to complete their tasks.
2. Organize and manage the office environment to ensure smooth operation and efficiency.
3. Keep communication lines open between office, field staff, and clients, ensuring all parties are updated on project status.
4. Handle fire alarm and fire protection system coordination, ensuring compliance with all safety regulations.
5. Manage and maintain service trade software, ensuring all data is accurate and up to date.
6. Collaborate with the team to plan and schedule construction projects.
7. Monitor and track project progress, addressing any issues that arise and adjusting schedules as needed.
8. Prepare and present reports on project status to management.
9. Develop and maintain strong relationships with clients, vendors, and team members.
Qualifications:
1. 5+ years of experience in a similar role within the construction industry.
2. Proven experience in dispatching and coordinating teams.
3. Proficiency in using service trade software.
4. Familiarity with fire alarm and fire protection systems.
5. Excellent organizational and multitasking abilities.
6. Strong communication and interpersonal skills.
7. Ability to work under pressure and meet tight deadlines.
8. Knowledge of construction industry best practices and safety regulations.
9. High level of professionalism and ability to maintain confidentiality.
10. Proficiency in MS Office Suite, particularly Excel and Word.
11. Ability to problem-solve and make decisions quickly and effectively.
12. High school diploma or equivalent. A degree in business administration or a related field is a plus.
