    Description

    West Sound Workforce is partnering with a well-established custom window and glass company in Kingston, WA to recruit an Office Coordinator. Serving residential and commercial customers throughout Kitsap and Jefferson Counties, this locally owned business has built its reputation on quality craftsmanship, dependable service, and lasting customer relationships. As the company continues to grow, they are seeking an organized, customer-focused professional who enjoys variety, takes pride in keeping operations running smoothly, and wants to be part of a close-knit team where every role makes a difference.

    Reporting to the Owner, the Office Coordinator serves as the administrative hub of the business, supporting daily operations while helping coordinate communication between customers, vendors, and the field team. This position plays an integral role in ensuring projects stay organized, information flows efficiently, and every customer receives the exceptional service the company is known for. The ideal candidate is proactive, detail-oriented, adaptable, and enjoys wearing many hats in a fast-paced small business environment.

    Shift information:
    • Monday – Friday 8:30 AM – 4 PM
    • Onsite
    What you will do:
    • Serve as the primary point of contact for customers, vendors, and field staff by managing incoming calls, emails, visitors, and day-to-day communications in a professional and responsive manner
    • Coordinate schedules, appointments, and project timelines while communicating updates between the office, customers, and installation crews to keep projects moving efficiently
    • Support project administration by maintaining customer and job records, preparing project documentation, verifying order accuracy, tracking materials, and following up with vendors as needed
    • Oversee daily office operations by organizing files, managing office supplies, handling mail and shipping, completing local business errands, and identifying opportunities to improve administrative processes
    • Assist with recruiting and onboarding activities by posting job openings, coordinating interviews, maintaining employee records, and providing administrative support for hiring efforts
    What we are looking for:
    • High school diploma or equivalent, with previous experience in an administrative, office coordination, receptionist, or customer service role
    • Strong organizational and time management skills with the ability to prioritize multiple tasks, maintain accuracy, and adapt to changing priorities in a fast-paced small business environment
    • Proficiency with Microsoft Office (Outlook, Word, and Excel); experience with QuickBooks is preferred
    • Excellent interpersonal and customer service skills with the ability to communicate professionally, exercise sound judgment, and maintain confidentiality when handling sensitive information
    • Experience supporting project-based work, coordinating schedules, processing orders, or working in a construction, contractor, manufacturing, or skilled trades environment is highly desirable. Familiarity with recruiting processes and maintaining employee records is a plus
