General Description
Cirba Solutions is the most trusted and complete battery solution partner in the world. For 30 years, we have led the BATTERY RECYCLING industry through our services, processing, and material upgrading. Contributing to the CIRCULAR ECONOMY model is our core focus. The Office Coordinator will have a wide range of responsibilities to include managing the calendars, travel, and expense reports for several senior level leaders. The Administrative Assistant will also work with Microsoft Office applications in creating and managing spreadsheets and PowerPoint presentations. The core duties and responsibilities of the Administrative Assistant revolve around supporting senior leadership.
DUTIES AND RESPONSIBILITIES
Follow office workflow procedures to ensure maximum efficiency.
Support Production, Warehouse, Safety, Maintenance, and HR with various administrative tasks (greeting guests, support new hire orientation/safety training, issuing/deactivating badges, disseminating correspondence, scheduling meetings, etc.)
Schedule and maintain conference rooms for local and corporate leadership.
Support with hosting various clients and corporate leadership such as ordering lunch, setting up conference rooms, or restaurant reservations.
Assist with document and presentation creation for monthly Townhall and annual Safety Day.
Support other Office Coordinators when they experience heavy workloads.
Ensure the efficient and smooth day-to-day operation of the office.
Retrieve, send, and distribute mail correspondence daily.
Monitor office supplies inventory and order office supplies as needed.
Assist in vendor relationship management.
All other duties as assigned.
QUALIFICATIONS
Proven experience as an office coordinator or in a similar role.
Experience in customer service will be a plus.
Knowledge of basic bookkeeping principles and office management systems and procedures.
Outstanding knowledge of MS Office, “back-office” and accounting software
Working knowledge of office equipment (e.g. optical scanner)
Excellent communication and interpersonal skills.
Organized with the ability to prioritize and multi-task.
Reliable with patience and professionalism.
EDUCATION AND TRAINING REQUIREMENTS
Associate’s/College Degree; BS/BA in Business Administration or relevant field is a plus1 – 3 years of experience in a similar role.
Knowledge of appropriate software including Microsoft Office, scheduling and financial software
