We are currently seeking an energetic and highly organized Office Coordinator for our dynamic team. The ideal candidate will be someone who thrives in a fast-paced, professional environment, has a knack for multitasking, and possesses exceptional interpersonal skills. The successful candidate will be responsible for managing office supplies, welcoming clients, and handling phone inquiries, among other tasks. Bilingual in Spanish, strongly preferred!

Job Details

Responsibilities:
  • Coordinate and manage office supply and refreshment inventory, ensuring that items such as coffee, creamer, water, and other beverages are always available for staff and clients.
  • Welcome clients and visitors in a professional and friendly manner, providing exceptional customer service and creating a positive first impression of our firm.
  • Handle incoming calls, routing them to the appropriate personnel, and providing accurate, timely information to callers.
  • Work closely with the consulting team to ensure smooth operation of the office and provide administrative support as needed.
  • Assist in organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Maintain a clean and organized office environment, ensuring that common areas, meeting rooms, and individual workspaces are kept tidy and professional.

Qualifications:
  • A minimum of 3 years of experience in an office coordination role, preferably within the Accounting, Finance or Nonprofit industry.
  • Exceptional organizational skills, with a proven ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong interpersonal skills, with a friendly, professional demeanor and the ability to interact effectively with clients, visitors, and staff at all levels.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience in managing office supplies and inventory.
  • Proven track record of providing exceptional customer service.
  • Ability to handle confidential information with discretion.
  • Bilingual in Spanish, strongly preferred!
